Job description:

We are currently seeking a Catering Sales Coordinator to join our team at the Cleveland Museum of Art. This is an immediate hire position located at 11150 East Blvd, Cleveland, OH 44106. Please note that we accept online applications only.

This full-time role predominantly follows a Monday through Friday schedule, with occasional evening and weekend work as needed. The successful candidate will be instrumental in planning and organizing a variety of internal and external events held at the Museum.

Key Responsibilities:

• Serve as a liaison for smaller internal Museum events.
• Act as the primary point of contact for clients, responding to inquiries and requests via phone and email.
• Prepare event orders, collaborate on event plans and timelines, finalize and disseminate menu and event details with the Bon Appetit team, and ensure proper invoicing post-event.
• Provide support in the execution of events as required.
• Maintain internal and external event calendars across multiple software platforms.
• Oversee the office filing system during event development and manage documentation following the conclusion and final payment of events.
• Prepare sales proposals, contracts, and event orders with precise pricing and details to assist the Director of Catering and Catering Sales Manager.
• Handle various administrative tasks, such as responding to sales inquiries, maintaining an inventory of sales documents, distributing new and updated BEOs and layouts to relevant team members, and attending weekly meetings for menu discussions and leadership.

Qualifications:

• A minimum of 1-2 years of experience in hospitality, catering, or event planning is preferred.
• Exceptional oral and written communication skills alongside strong guest service abilities.
• The ideal candidate will be a highly motivated and resourceful hospitality professional, able to work independently while efficiently managing multiple tasks and events from conception to completion.
