Job description:

Upload student enrollment files into the CTEIS system, including Work-Based Learning Records, Credentials Records, Year-End Reports, and all student grades. Responsible for requisitioning, distributing, and maintaining records of CTE equipment, textbooks, and supplies for all CTE programs. Coordinate credential testing for all CTE programs and collaborate with CTE teachers to procure necessary credential software. Engage with the technology department to ensure the feasibility of testing sessions and proctor credential testing for students.

Work closely with the Finance Department to ensure the appropriate accounts and budgets are utilized for all expenditures. Assist with Wayne RESA and MDE monitoring processes, including audits and report requests as needed. Plan and coordinate Wayne RESA and/or MDE CTE Program Site Visits as necessary. Complete and submit all required forms for MelNAP Board of Education and Melvindale High School field trips, including transportation requests.

Conduct annual follow-up surveys as mandated by MDE OCTE, contacting students from the provided list via phone or email. Prior to graduation, secure valid phone numbers from seniors for future follow-up. Assist in the planning and coordination of the annual Manufacturing Day, including follow-up meetings, agenda preparation, and transportation arrangements. Organize a spring job fair specifically for seniors.

Support CTE instructors in organizing Fall and Spring Advisory Committee meetings by creating materials such as agendas, membership rosters, and sign-in sheets. Assist CTE instructors with student leadership activities, including registration for CTSO memberships and conference registrations/travel arrangements. Plan and coordinate an annual CTE open house community outreach event that showcases all CTE programs, leveraging brochures and marketing materials to enhance community and stakeholder awareness.

Oversee the planning and coordination of a Work-Based Learning Community Event, facilitating collaboration with local businesses seeking student workers that align with CTE programs. Ensure the scheduling and transport arrangements for CTE students within the school district are effectively managed. Assist the Health Sciences CTE department with necessary work-based learning documentation, including agency and school district cooperative agreements and legal documents required for clinical experiences and compliance. Additionally, coordinate and schedule transportation for Health Sciences students to local hospitals and pharmacies.

Support the documentation process for CTE training agreements related to off-site paid and unpaid placements, including data entry and timesheet management. Aid the Work-Based Learning Coordinator in maintaining employer records, including verification of liability coverage and Workers Compensation, while updating the employer database. Uphold Work-Based Learning compliance requirements, including site visits and other state audit obligations, while communicating expectations of training agreements with employers and students in collaboration with Work-Based Learning Coordinators.

Coordinate required professional development conferences for CTE teachers, including registration, hotel bookings, and arrangements for substitute teachers. Plan and support future Work-Based Learning experiences with external agencies and businesses, and assist in the development of new CTE programs. Facilitate coordination between the CTE Department and Counseling Office to ensure students complete Educational Development Plans aligned with their career pathways at Melvindale High School.

Qualifications and Education Requirements

  • Successful completion of district-approved clerical assessment.
  • High School Diploma or equivalent.
  • An Associate’s degree or equivalent experience is preferred.
