This part-time position offers a structured schedule with set hours, promoting an excellent work-life balance. Designed for individuals seeking consistent part-time employment, the role involves working two and a half days each week.
Under the general supervision of the Friend of the Court and direct oversight of the Systems Coordinator/Support Staff Supervisor, this role encompasses a variety of clerical tasks with an emphasis on customer service relations.
Essential Duties and Responsibilities:
- Process incoming mail, faxes, and e-mails.
- Monitor the lobby and reception area, including daily opening and closing procedures.
- Manage incoming phone calls from court officials and attorneys, directing them to the appropriate staff member.
- Receive and monitor calls on hold for referee hearings, mediation, conciliation, conferences, or other appointments, transferring calls as necessary.
- Provide in-person client services and direct clients to the appropriate staff or department for assistance.
- Control lobby flow by keeping referees and staff informed of checked-in clients and updating clients on wait times.
- Communicate with the supervisor or bailiff during hostile client encounters.
- Handle emotionally charged client interactions, both on the phone and in person.
- Ensure that all clients sign in with current contact information and manage the receipting of IV-D applications for newly established cases.
- Responsible for the opening and closing of the lobby, including activating all equipment.
- Monitor office supplies in the lobby and inform the Systems Coordinator/Support Staff Supervisor of low stock.
- Replenish court forms and motions for public use in the lobby.
- Open, sort, and timestamp received documentation, ensuring that staples and paperclips are removed prior to scanning.
- Process documents received and/or transmitted electronically, including faxes and public emails.
- Determine appropriate document codes for routing documents to the correct staff based on document type and content, which requires thorough reading.
- Adhere to locally defined timeframes to ensure timely processing of workflow.
- Assist clients with change information by gathering sign-in details such as current address, telephone number, email, employer, and medical insurance information.
- Review case histories to generate client account printouts and reports while maintaining confidentiality.
- Generate printouts for Section 8 client housing requests.
- Document case notes in MiCSES financial reports.
- Draft client correspondence.
- Collect and maintain statistical data on caseload matters for both internal and state statistics.
- Perform special projects, time-sensitive mailing, and case cleanup activities.
- Assist with return mail as needed.
- Document all client changes in MiCSES.
- Other duties as assigned.
Supervision Received:
Works under the general supervision of the Friend of the Court and direct supervision of the Systems Coordinator/Support Staff Supervisor.

Experience, Skills, Education:
- A Bachelor’s Degree from a regionally accredited institution in psychology, social work, business, accounting, or a related field is preferred.
- An Associate Degree in a similar field from a regionally accredited institution is required.
- Minimal or no previous work-related experience is necessary; the court may consider alternative combinations of formal education and relevant experience at its discretion.
- Proficiency in writing, reading, and mathematical principles; strong skills in Microsoft Office Suite and Outlook; ability to exercise sound judgment and decision-making in line with policies and procedures; capacity for independent research and problem-solving; understanding of County operations and functions; and ability to prioritize tasks and manage time effectively under stress while providing excellent customer service.
- Familiarity with fundamental administrative tasks, including the operation of standard office equipment, document management, record-keeping, and effective communication of information.
- Strong ability to communicate efficiently with management, colleagues, and clients, and to apply common sense to complex instructions.
