Job description:

As a vital member of the Student Leadership & Involvement team, the Coordinator plays a key role in enhancing educational, social, and leadership development opportunities through co-curricular experiences that enrich student learning and campus life at Michigan Technological University. Reporting directly to the Director of Student Leadership and Involvement, the Coordinator supports designated Registered Student Organizations (RSOs) and is instrumental in fostering a vibrant campus community. This position is responsible for managing the Cultural Events Fund, planning cultural events, and overseeing resources that benefit all RSOs. The Coordinator also provides guidance to the Memorial Union Board, assists in orchestrating department-led events, and actively supports divisional initiatives as needed.

Responsibilities and Essential Duties

  1. Act as the primary contact and resource for assigned Registered Student Organizations (RSOs).
  2. Assess and process new RSO requests in accordance with Board of Trustees and Student Leadership and Involvement policies.
  3. Maintain RSO records and archives using the Involvement Link, the Student Leadership and Involvement drive, and physical files.
  4. Regularly review RSO constitutions and by-laws, advising organizations on necessary updates and revisions.
  5. Consult with RSOs, providing expert guidance on organizational management, recruitment, fundraising, financial management, event planning, leadership development, and university policy.
  6. Lead the planning and execution of large-scale Late Night Programming events throughout the academic year.
  7. Co-advise the student-led Memorial Union Board in implementing regular campus-wide programming.
  8. Collaboratively manage the Memorial Union Board budget with the organization treasurer, ensuring the timely and accurate processing of contracts.
  9. Promote, sustain, and allocate the Cultural Events Fund.
  10. Plan, promote, implement, and evaluate programming related to MLK Day and the Parade of Nations.
  11. Review and authorize all RSO outside space requests in collaboration with Facilities and Public Safety.
  12. Serve as a liaison for RSOs with key campus partners, including the Memorial Union Building, Catering, Facilities, Athletics and Recreation, and the Registrar.
  13. Manage resources and supplies that support all student organizations, including the Student Organization Office.
  14. Assist in planning department-led events, such as Late Night Programming and Tech Traditions.
  15. Develop, propose, and manage budgets based on data and event requirements.
  16. Support the marketing of departmental events and initiatives while maintaining departmental social media accounts.
  17. Collect program data and other evidence to assess student needs, learning outcomes, and program effectiveness.
  18. Participate in policy and procedure development in collaboration with colleagues, prioritizing student success and well-being.
  19. Serve on various committees within the department, division, and university.
  20. Accommodate evening and weekend hours as necessary to fulfill job responsibilities.
  21. Foster an inclusive, welcoming, and professional work environment for staff, students, and visitors.
  22. Engage in continuous improvement initiatives to streamline processes effectively.

Required Education, Certifications, Licensures

  • A Bachelor’s degree in a related field, or an equivalent combination of education, training, and experience that provides the necessary skills.

Required Experience

  • A minimum of one year of experience with university student organizations.
  • Demonstrated experience in planning, organizing, and executing significant events and projects.
  • Proficiency in using personal computers, word processing, databases, and advanced features of word processing applications.

Desirable Education and/or Experience

  • A Master’s degree in Higher Education Administration, Student Affairs, or a related field, or equivalent combination of education, training, and experience.
  • Experience advising student organizations and working with a university programming board.
  • Familiarity with online student organization platforms and experience handling entertainment/performer contracts.

  • Proficient in operating computers, managing files and data, utilizing productivity software, securely navigating the internet, troubleshooting technical issues, and adapting to new digital tools.
