Description: This position entails providing front desk administrative support across multiple outpatient rehabilitation therapy clinics. The successful candidate will interact with patients, colleagues, insurance providers, and referral sources. Key responsibilities include independently scheduling new evaluations and follow-up visits, managing patient check-ins, registering accounts, verifying patient demographics, collecting copays, and scanning necessary documents utilizing the current Electronic Medical Record (EMR) system. The role is crucial for revenue cycle optimization, which involves obtaining, documenting, and tracking patient insurance authorizations and benefit information through online resources, telephone, and fax communications, as well as creating and processing departmental deposits. The candidate will also be responsible for managing a multi-line phone system, triaging inquiries, and assisting callers as necessary, while maintaining medical records in compliance with HIPAA standards.
QUALIFICATIONS
Education:
Required:
- Equivalent knowledge to that typically obtained through the completion of high school.
Preferred:
- An associate degree with medical certification.
- Completion of a medical terminology course or equivalent knowledge of medical terminology, anatomy, and physiology.
Related Experience:
- Preferred: A minimum of 2 years of experience in insurance authorization and benefit verification within a healthcare office setting.
- Certification in Basic Life Support (BLS) or equivalent.
Other Qualifications:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Strong typing skills and exceptional verbal and written communication abilities.

ESSENTIAL FUNCTIONS
- Scheduling: Manage scheduling for new evaluations, return visits, rescheduling, and cancellations within the current scheduling system.
- Registration: Register patients in the current registration system, verifying demographic and insurance information.
- Insurance Management: Acquire, document, and track patient insurance authorization and benefits.
- Telephony: Operate a multi-line phone system, route calls appropriately, and relay accurate messages as necessary.
- Faxing: Send correspondence to insurance companies and physician offices, while managing incoming department faxes.
- Scanning: Scan patient paperwork, physician orders, insurance authorizations, and signed plans of care into the current documentation system.
- Copying: Prepare copies of patient paperwork for packet creation and medical requests as needed.
- Copay Management: Collect patient copays, recording transactions in the current payment processing system, and preparing deposits utilizing relevant reports.
- Medical Records: Process requests and manage medical records in compliance with HIPAA standards.
- Reporting: Create, update, and interpret routine reports and documents, including safety rules, operating instructions, procedure manuals, and standard work documents.
- Additional Duties: Carry out all other duties as assigned, adhere to hospital policies relevant to the role, and participate actively in departmental and organizational meetings.
