We are seeking a Corporate Meeting Planner to ensure the professional research, planning, and management of corporate meetings and events. These events may vary from executive board meetings with 20 attendees to large internal conferences with over 1,000 participants. The ideal candidate will possess demonstrated expertise in organizing and managing multiple meetings and projects concurrently, along with a strong willingness to support the team and department.
As a Corporate Meeting Planner, your responsibilities will include:
– Overseeing planning functions, such as budget development, management, and reconciliation, as well as destination and venue research, and supplier recommendations and selections.
– Utilizing registration and event management tools, with prior experience in Cvent preferred.
– Managing relationships with supporting suppliers, including destination management companies, caterers, agencies, and print services.
– Leading an onsite team of travel directors and conducting daily meetings.
– Upholding high customer service standards through effective verbal and written communication.
– Ensuring adherence to all client policies, procedures, and processes.
About you:
– A strong background in corporate meeting operations is essential, with experience in the automotive sector considered an advantage.
– Extensive knowledge of the hotel contract process, demonstrating the ability to negotiate contracts with minimal supervision.
– Proven negotiation skills applicable to hotels, DMCs, and offsite venues, with a track record of achieving negotiated savings.
– Experience managing comprehensive programs with budgets of up to $5 million, including development, management, and reconciliation.
– Proficient in planning executive-level meetings and collaborating with C-level attendees.
– Excellent verbal and written communication skills in English.
– Willingness to travel (20-30%).
– Tech-savvy, with strong proficiency in Microsoft Office Suite, particularly in MS Teams, PowerPoint, and Excel.
