Job description:
Oversees the administration of the Department of Social Sciences.
Responsibilities:
1. Monitor the department’s expenditures and provide the Chair with monthly budget updates to uphold fiscal integrity; process funding transfers, payroll adjustments, check requests, and reimbursements; reconcile the departmental purchasing card; and execute all other accounting-related activities pertaining to departmental indexes.
2. Maintain a comprehensive calendar of administrative responsibilities, including deadlines for course scheduling, PTR reviews, elections, and webpage updates; organize departmental files and documents while ensuring appropriate confidentiality and access levels; draft correspondence relevant to departmental administration.
3. Assist Principal Investigators (PIs) by serving as a liaison with sponsored programs and aiding in post-award accounting.
4. Act as the liaison among the Chair, faculty, and registrar to coordinate course scheduling and curricular modifications.
5. Facilitate the activities of the Chair, PTR committee, and faculty members in the execution of PTR, teaching, and assessment reviews.
6. Function as the department’s coordinator for space, facilities, and safety matters.
7. Support the Graduate Director in managing graduate programs and assist the Undergraduate Director with the administration of undergraduate programs.
8. Generate reports from university databases as requested by faculty.
9. Plan departmental events initiated by the Chair.
10. Supervise the department’s administrative assistant and/or part-time personnel, including assigning administrative tasks related to supply maintenance, document updates, social media postings, and event planning.
11. Collaborate as needed with the College Dean’s office regarding financial management or other resource requirements.
12. Perform additional duties as assigned.
13. Commit to learning about continuous improvement strategies and applying them in daily work activities. Actively participate in university continuous improvement initiatives.
14. Apply safety-related knowledge, skills, and best practices in daily operations.
Required Education, Certifications, Licensures:
A college degree or an equivalent combination of education and experience that provides comparable knowledge and abilities.
Required Experience:
– A minimum of three years of experience in office management roles, with responsibilities encompassing budgeting, compliance, assessment-related activities, document management, and scheduling.
– Proficiency in using spreadsheets and other software tools commensurate with the above tasks, including knowledge of formulas, table formatting, adding signature fields to PDFs, report generation, and creating basic macros.
– Ability to exercise sound judgement when handling confidential information.
– Proven track record of attention to detail and accuracy in work.
Desirable Education and/or Experience:
– Experience working within an academic environment.
– Familiarity with Sponsored Programs procedures and requirements.
– Background in accounting or finance.
