Position Summary – Development Assistant

The Development Assistant is pivotal in delivering essential administrative support for cultivating and maintaining key stakeholder relationships. This role encompasses direct mail appeals and special event coordination. Responsibilities include planning and executing events, soliciting donations and sponsorships, managing ticket sales, recruiting and overseeing event volunteers, and creating promotional materials.

Duties & Responsibilities

  • Process donations and prepare acknowledgment letters and other correspondence.
  • Maintain organized files for foundations, corporations, and individual donors.
  • Generate monthly fundraising reports and other database reports as required.
  • Conduct preliminary research on potential corporate, foundation, and individual donors.
  • Coordinate the production and mailing of spring and year-end appeal letters.
  • Oversee all facets of fundraising events, including planning, on-site management, and post-event follow-up.
  • Maintain guest lists, compile registration materials, and perform additional duties for fundraising events as assigned.
  • Act as the liaison for third-party fundraisers supporting the organization, offer facility tours to donors, and represent the organization at community speaking engagements.
  • Monitor and manage the Chief Development Officer’s budget, track financial data, and lead the preparation and submission of annual departmental budgets.
  • Handle all administrative tasks associated with the Development and Communications & Marketing Committee meetings, including preparation and distribution of notices, agendas, minutes, and follow-up coordination.
  • Manage the development and printing of all collateral materials, as well as design promotional materials using Adobe Creative Suite.
  • Prepare media materials for distribution, including copying, filing, mailing, and emailing, and assemble media and donor kits for events and meetings.

Requirements

Knowledge and Skills:

  • An Associate’s or Bachelor’s degree in a relevant field.
  • A minimum of three years’ experience in an administrative role, preferably within a nonprofit development context.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; experience with database management—preferably GiftMaker Pro or similar donor database software.
  • Exceptional interpersonal skills, with a strong customer service orientation and problem-solving abilities.
  • A self-motivated individual capable of working independently with minimal supervision, as well as collaboratively within a team.
  • Excellent donor relations with a proven ability to engage effectively with a diverse array of stakeholders, including Board leadership.
  • Flexibility to work varied hours, including evenings and weekends, as required for events.
