Job description:
Job Summary:
The Event Manager position reports directly to the Manager of Event Services and is responsible for delivering exceptional client support in the planning, organization, and management of events at Huntington Place. This role involves monitoring event logistics and overseeing all coordination tasks to ensure successful execution. The Event Manager acts as the primary contact for clients and all internal departments, remaining present during events to facilitate smooth operations. The ideal candidate is a proactive self-starter with the ability to engage effectively with individuals at all levels, adeptly managing changing priorities and circumstances. Flexible hours are required.

Key Job Elements:
– Serve as the principal operational liaison for events, promoting the goals and commitments of Huntington Place.
– Collaborate with clients to plan and organize assigned meetings and events, guiding them through contract interpretations, policies, and procedures. Ensure clients remain informed about deadlines and event-related details.
– Prepare, review, and finalize event estimates while assisting the finance team with event settlements.
– Maintain clear and timely communication regarding detailed requirements across operational departments.
– Oversee in-house events by maintaining close contact with clients, service contractors, and facility staff to ensure their success, addressing all client requests and concerns promptly.
– Demonstrate strong communication skills, effective planning capabilities, and thorough documentation practices.
– Exhibit flexibility and adaptability to changing circumstances; willingness to work extended and irregular hours, including nights, weekends, and holidays, as required.
– Provide assistance to the department and organization on various projects and special assignments, as needed, and perform other assigned duties.

Qualifications:
– Education: A bachelor’s degree in hospitality, business, or a related field, or equivalent experiential background, is essential.
– Experience: A minimum of three years of event planning experience, with proficiency in the principles of event facility management, services, and equipment.
– Skills: Strong ability to prioritize multiple projects, with proficiency in MS Office applications including Outlook, Excel, Word, and PowerPoint. Exceptional organizational, planning, and interpersonal skills; professional presentation and work ethic are crucial.
– Communication: Well-developed oral, written, and listening skills, coupled with strong analytical abilities. Experience in leading, facilitating, planning, documenting, and organizing activities is advantageous.
