Job description:
Design, coordinate, and oversee the logistical and high-level administrative support required for multiple complex and widely distributed educational events, conferences, and similar activities. Act as the primary source of information for students, staff, and faculty regarding event-related activities. Collaborate with vendors to negotiate costs and ascertain technical, security, and other requirements for event venues.
Design and prepare a variety of marketing materials to promote events effectively. Manage the coordination of conferences and requested services, which includes reserving conference rooms, assessing catering needs, preparing conference materials, tracking expenditures and revenues, collecting fees, and maintaining necessary records. Act as a liaison with vendors for event-related matters, maintaining direct communication with personnel from various external organizations and university departments associated with scheduled events.
Oversee, instruct, and coordinate the activities of support staff involved in event planning. Other duties may be assigned as required.
Required Education and Experience:
A minimum of six years of relevant work experience, including at least four years in a similar job family at a lower level, along with a high school diploma; or four years of relevant work experience alongside an Associate degree; or limited experience with a Bachelor’s degree in a related field; or a combination of experience and education deemed equivalent.
Position Focus:
Reporting to the Senior Executive Assistant to the University Librarian, you will ensure high-quality experiences for clients utilizing event spaces within Sterling Memorial Library. Responsibilities include coordinating logistics for events in Sterling, such as catering, security, custodial services, facilities, and technical support. Serve as the initial point of contact for event space requests, reviewing and prioritizing incoming inquiries, resolving problems, or directing requests to the appropriate team member.
Balance competing priorities to meet program requirements effectively and deliver high-quality results that enhance client satisfaction. Oversee the planning, preparation, implementation, and delivery of exceptional service to staff, students, faculty, and guests, adhering to established university policies.
Act as the primary liaison between clients and library support services, including Library IT, Security, and Custodial departments for both internal and external programs. Assist library staff with event planning and develop positive relationships with both internal and external service providers. Prepare cost estimates for external clients following established guidelines and ensure proper processing of billing information in coordination with Facilities and Library IT support staff.
Help coordinate the activities of support teams related to events while developing and providing instruction for event setups and floor plans. Identify opportunities for workflow improvements and recommend enhancements. Maintain an events calendar to facilitate timely planning and coordinate tour programs for Sterling Memorial Library. Additional duties may be assigned as necessary.
