Job description:

Responsible for the preparation of all event documentation and coordination with Sales, property departments, and customers to ensure a consistent and high level of service during the pre-event, event, and post-event phases. This role primarily manages events of average complexity and aims to facilitate a seamless transition from sales to service and back to sales. The position also identifies opportunities to enhance revenue through up-selling and offering enhancements to create exceptional events.

CANDIDATE PROFILE
Education and Experience

  • High school diploma or GED, with 1 to 2 years of experience in event management or a related professional area; OR
  • A 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related field, along with at least 1 year of experience in event management or a related professional area.

CORE WORK ACTIVITIES
Managing Event Logistics and Operations

  • Ensures the smooth progression of events by adhering to established procedures, collaborating with colleagues, and maintaining accuracy.
  • Welcomes customers during the event phase, facilitating a hand-off to the Event Operations team for detail execution.
  • Complies with all organizational standards, policies, and procedures.
  • Verifies billing accuracy and conducts reviews with clients before finalizing invoices.
  • Oversees group room blocks and meeting spaces for average to large-sized assigned groups.
  • Identifies operational challenges linked to specific groups and collaborates with property staff and customers to devise solutions.
  • Integrates current trends in event management and design through informed judgment.
  • Acts as a liaison between the sales team and the customer throughout the event lifecycle (pre-event, event, post-event).
  • Participates in customer site inspections and assists in the sales process as required.
  • Executes additional duties as assigned to meet business needs.
  • Gathers feedback from property departments to pinpoint areas for enhancement in the Event Planner’s experience.

Ensuring and Providing Exceptional Customer Service

Supporting and Coordinating with the Sales and Marketing Function

  • Assists in the sales process and revenue forecasting for customer groups.
  • Promotes additional products and services throughout the event process.
  • Projects group sleeping room and event revenue (catering and audio-visual) for assigned groups.

Conducting Human Resources Activities

  • Reviews guest comment cards and satisfaction results with employees.
  • Observes employee service behaviors and provides constructive feedback to individuals and managers.
  • Assists in formulating and implementing corrective action plans.
  • Proactively uses experience to elevate service performance in response to evaluations of issues and resolutions.
  • Collaborates with property staff and customers to address operational challenges related to specific groups.
  • Completes additional responsibilities as assigned to meet business needs.

The salary range for this position is $58,000 to $76,000 annually.
