Job description:

The Executive Administrative Assistant will serve as a key resource and support for district employees as designated by the supervisor. This role involves assisting assigned Director(s) in fostering a professional environment while undertaking complex tasks within a dynamic and fast-paced setting. Under the direct supervision of the Director(s), the Executive Administrative Assistant will provide comprehensive administrative and secretarial support to both the Director(s) and their respective departments. Responsibilities include typing, filing, and scheduling, as well as financial record-keeping, coordinating meetings and conferences, procuring supplies, managing direct mailings, and contributing to special projects. The position also involves responding to non-routine correspondence and compiling highly confidential and sensitive information, necessitating interaction with a diverse array of important internal and external stakeholders at various organizational levels. Independent judgment is essential in planning, prioritizing, and organizing a diversified workload, including recommending enhancements to office practices and procedures.

Essential Functions:

  • Deliver exceptional customer service by effectively communicating in both written and verbal formats with employees, member district personnel, and service providers, while interpreting and addressing issues as necessary.
  • Exercise discretion and maintain a high level of confidentiality at all times.
  • Assume decision-making responsibilities pertinent to the role.
  • Manage correspondence, telephone communications, appointment scheduling, and travel arrangements for meetings and conferences for the director.
  • Efficiently type, file, retrieve, copy, and distribute various records and documents, including correspondence, notices, forms, and reports.
  • Requisition and maintain supplies, including the completion of necessary documentation and assisting with processing requisitions, purchase orders, and inventory forms.
  • Assist the Director(s) in all aspects of event planning within the department, including new employee orientation and professional development activities.
  • Support the Director(s) in the daily operations of department(s) to ensure efficient and professional management.
  • Conduct desktop publishing tasks such as typing and designing general correspondence, employing standard district letterhead, memos, charts, tables, graphs, and business plans. Proofread copies for spelling, grammar, and layout, ensuring accuracy and clarity in final documentation.
  • Establish, develop, maintain, and update the filing system for the Director(s) and department(s), retrieving information as needed.
  • Organize and prioritize information and communications efficiently.
  • Act as a liaison with other departments and external agencies, assisting high-level staff from various organizations as required.
  • Facilitate positive communication and cooperation among the career center, associate school districts, staff, students, employees, and community members.
  • Manage confidential and non-routine information, explaining policies when necessary.
  • Accurately compile and input data into state software systems.
  • Work independently and collaboratively within a team on special projects, taking on project management responsibilities as requested by the Director(s), which may involve planning and coordinating presentations, disseminating information, managing direct mailings, and creating brochures.
  • Occasionally handle financial transactions, including collecting money, preparing receipts, and submitting deposits to the Treasurer’s office.

Other Duties and Functions:

  • Serve as a role model for staff and students, demonstrating exemplary conduct as responsible and intelligent individuals.

  • Execute any additional duties as assigned by the Director(s) or their designee.

Knowledge of:
Board policies and procedures, employment law, Master Agreement, and emergency preparedness drills. A solid understanding of professional office behaviors, state and federal reporting, customer service, and public relations is essential for this position.

Ability to:
Interpret policies, procedures, and regulations; follow instructions; communicate effectively; maintain files and reports; accurately collect data; lift moderate weights; and prepare precise and concise reports. Demonstrate an understanding of individual differences and foster rapport with students, staff, co-workers, administration, and community members.

Additional Working Conditions and Environment:

  • Occasional exposure to blood, bodily fluids, and tissue, with responsibilities that may require the lifting of supplies and materials (10-20 pounds). Duties may involve exposure to adverse weather conditions and seasonal temperature extremes.
