Job description:
The City of Detroit Department of Transportation is actively seeking a detail-oriented, results-driven Executive Administrative Assistant to support the administrative functions of the Executive Office of DDT. This position is integral in providing confidential executive support, managing communication as a liaison by responding to incoming calls and handling sensitive correspondence. The successful candidate will exercise independent judgment to assess the urgency of requests, seeking direction when necessary.
Key Responsibilities:
- Coordinate meetings for the executive team, gather relevant data, conduct research, and draft reports, summaries, or presentation materials. Attend meetings as requested to document discussions and summarize key topics for reports and memos.
- Prepare, revise, and format Excel spreadsheets, PowerPoint presentations, and various written documents. Establish and maintain departmental administrative procedures while safeguarding confidential information.
- Manage complex and sensitive situations and requests, serving as a highly visible resource for the department, interacting with candidates, staff, management, and other departments.
- Organize and maintain departmental files and logs to ensure the timely flow of correspondence and reports. Proofread documents for accuracy and consistency prior to distribution.
- Plan and assist in the organization of departmental events.
- Provide front desk coverage, greeting visitors and managing appointments for the Executive Office.
- Assist in creating requisitions using Financial Systems and managing position requests through Human Resources Systems.
- Execute administrative and office support tasks, including answering phones, filing, copying, distributing mail, ordering supplies, and maintaining office conditions, while coordinating necessary repairs.
- Build and maintain relationships with senior-level executive staff, tracking the status of ongoing matters and following up as required.
- Monitor departmental budgets, manage expenditures, troubleshoot issues, and prepare financial reports while handling invoices as needed.
- Prepare payroll and oversee time entry processes.
- Undertake related tasks and special projects as assigned.
Minimum Qualifications:
- High School Diploma or GED; prior experience in government preferred.
- Exceptional oral and written communication skills.
- Proficient in standard office software, including Outlook, Word, Excel, and PowerPoint.
- Ability to manage multi-line phone systems with strong leadership capabilities.
- A minimum of five (5) years of experience in office management or coordination at the executive level.
- At least two (2) years of experience in drafting business memos, creating PowerPoint presentations, and organizing communications for senior-level executives.
- Strong organizational, communication, customer service, conflict resolution, analytical, interpersonal, multitasking, and writing skills.
- Experience in compiling data into written and graphic formats and proofreading documents.
- Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, along with database applications.
- Demonstrated ability to thrive in a fast-paced environment, prioritize tasks effectively, and perform a range of administrative and executive support functions independently with minimal supervision.
- Commitment to providing courteous and professional service to both internal and external customers, while safeguarding confidential information.
- Ability to identify issues requiring immediate attention and knowledge of business and management principles.
