Position Overview: In the role of Executive Assistant to the CEO, you will serve as an essential partner in ensuring operational excellence across both strategic and daily administrative functions. Your responsibilities will include managing the CEO’s calendar, coordinating projects, supporting recruitment efforts, preparing presentations, organizing travel, and handling confidential matters with the highest level of discretion.
Key Responsibilities:

Executive and Administrative Support:
- Assist the CEO in prioritizing and managing daily tasks and weekly objectives.
- Maintain and organize both professional and personal calendars, schedule appointments, and coordinate logistics for meetings and events.
- Draft and respond to emails on behalf of the CEO, manage phone communications, and produce reports and presentations.
- Organize and maintain paperwork, providing assistance with various personal tasks as required.

Human Resources and Recruitment:
- Coordinate recruitment efforts by posting job openings, conducting initial phone screenings, scheduling interviews, and performing reference checks.
- Ensure a seamless experience for candidates from the interview process through onboarding.

Communication and Information Management:
- Prepare and edit correspondence and presentations with a professional touch.
- Conduct research on competitors and industry trends to support strategic planning.
- Uphold confidentiality regarding all business and personal information.

Event and Travel Management:
- Plan and organize company events and special functions, coordinating logistics with external vendors.
- Arrange domestic and international travel for the CEO, ensuring meticulous attention to detail.
- Office and Project Support:

Requirements:
- Minimum of 3 years of experience as an Executive Assistant or in a similar administrative capacity.
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Suite.
- Exceptional verbal and written communication skills.
- Highly organized, capable of managing multiple tasks, and agile in adapting to shifting priorities.
- A professional, service-oriented mindset complemented by strong interpersonal skills.
- Experience in handling sensitive information with confidentiality and discretion.
- Tech-savvy with strong typing skills (minimum 40 WPM) and familiarity with tools such as Workable.
