Job description:
Position Summary: MAG Aerospace is seeking an Executive Level Administrative Assistant, Senior with an active SECRET clearance to support the Joint Strike Fighter (JSF) Joint Program Office (JPO) at Wright-Patterson AFB, Ohio. This role involves providing administrative and operational support to the F-35 Commanders Action Group (CAG), facilitating timely, high-quality communication that empowers the F-35 Enterprise to deliver critical capabilities to the Warfighter. The selected candidate will deliver specialized executive-level administrative support, encompassing a comprehensive range of functions to assist the senior leadership of the F-35 JPO.

Essential Duties and Responsibilities:
Duties include, but are not limited to:
– Engaging with General Officers, Senior Executive Service members, and industry executives on various matters. Familiarity with military customs and courtesies, strong oral and written communication skills, experience supporting headquarters personnel, and an understanding of Department of Defense processes are essential.
– Providing executive administrative support, including travel arrangements for the Program Executive Officer, Executive Director, and Chief of Staff, overseeing communications, personnel staffing, and office policies and procedures.
– Managing Continuity of Operations Plans (COOP), emergency planning, brief compilation and configuration management, official correspondence, and coordination/management of military and civilian awards.
– Performing daily tasks as directed by the Contracting Officer’s Representative (COR) or Technical Point of Contact (TPOC) within supported offices. These tasks include:
– Coordinating and scheduling daily, short-term, and long-term appointments using Microsoft Outlook, composing calendars, schedules, itineraries, and travel arrangements.
– Ensuring schedules are current, adhering to and resolving any conflicting appointments.
– Preparing read-ahead binders and securing facilities for events by liaising with relevant parties.
– Managing telecommunication inquiries, taking messages when necessary, and directing callers or visitors to the appropriate government personnel.
– Planning and coordinating visits and meetings for distinguished guests at the F-35 JPO.
– Drafting and developing correspondence, reports, memoranda, presentations, and emails for distribution throughout the organization.
– Reviewing correspondence requiring signature from the Senior Executive Leader (or designee) for accuracy, compliance with procedures, and quality control for grammar and attachments.
– Tracking and managing correspondence to ensure compliance with suspense requirements.
– Conducting quality control reviews for documents and reports to guarantee high-quality outputs.
– Compiling meeting minutes, distributing materials, and posting minutes as required.
– Maintaining files and record systems in adherence to approved guidelines.
– Assisting with the management of the Defense Travel System (DTS) and aiding government travelers in completing travel requests.
– Demonstrating proficiency in the commercially available Task Management Tool (TMT), which underpins the JPO Task Management System, and managing organizational workflows in the ETMS2 system.
– Overseeing the organization’s workflow mailbox and ETMS2 for issues and tasking, assigning tasks to relevant JPO organizations, and providing weekly updates to stakeholders.
– Preparing status slides for staff meetings, ensuring timely completion by the close of business each week.
– Facilitating Video Teleconferences (VTC), Microsoft Teams meetings, Webex, Zoom, or other commonly used platforms within the government and corporate environments in the United States.

Requirements:
Experience:
– A minimum of 5 years of experience in Department of Defense (DOD) executive support.

Knowledge and Skills:
– Exceptional organizational, verbal, and written communication skills.
– Ability to effectively prioritize and handle information requests from both external and internal personnel.
– Strong attention to detail and deadlines, complemented by robust critical thinking skills.
– Proficiency in Microsoft Office Suite and outstanding communication capabilities.
– An active Secret security clearance is required.

Education:
– An Associate’s degree is required.

Preferred Qualifications:
– Experience in an office setting.
– A minimum of 10 years of DOD executive support experience.
