This position is responsible for managing financial aid processes, which include awarding financial assistance to students in compliance with federal, state, and institutional guidelines, while also providing support to Financial Aid Administrators. The role will involve offering backup support at the front desk for both the Harrison and Mt. Pleasant locations, ensuring high-quality customer service through guidance and advisement to students seeking financial aid resources.

Key Responsibilities:

1. Process and award financial aid for applicants, including but not limited to:
– Downloading FAFSA data
– Managing state aid processes
– Overseeing institutional, foundation, and private aid processes
– Conducting file reviews
– Evaluating satisfactory academic progress
– Exercising professional judgment
– Packaging aid
– Facilitating student communications

2. Execute initial processing, awarding, and pre-transmittal of financial aid, encompassing:
– Student loan processing steps
– COD import and export processes
– Resolving awarding errors and rejects
– Updating cost of attendance budgets
– Reconciling federal, state, and institutional programs
– Monitoring and addressing issues related to overpayments, defaults, unusual enrollments, and Pell limits
– Staying updated on software developments and issues

3. Perform data entry on various Federal and State agency websites, including but not limited to VA Once, FAA Access to CPS online, Common Origination and Disbursement, and the National Student Loan Database System.

4. Carry out Title IV Return of Funds calculations, including post-withdrawal disbursements, and prepare and send notifications to students.

5. Assist in filing federal and state reporting obligations.

6. Gather data for internal and external stakeholders by running queries/reports and developing spreadsheets.

7. Manage pre-transmittal of financial aid funds and reconciliation with appropriate internal and external departments and agencies.

8. Contribute to the maintenance of the Financial Aid Policy and Procedure Manual and related web pages.

9. Initiate and manage automated processes in the Colleague system, with annual updates as needed.

10. Oversee processing of institutional, foundation, and private scholarships.

11. Coordinate financial aid office communication processes.

12. Attend, facilitate, and/or lead staff meetings and in-service programs for the department and across the college.

13. Support and contribute to formal presentations to various groups, both on and off campus.

14. Serve as a role model for our mission, vision, values, and customer service principles, adhering to the organization’s policies and all relevant federal, state, and accreditation regulations.

15. In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), this position includes duties that designate it as a Campus Security Authority (CSA). CSAs must report any crime to the College’s Clery Compliance Officer and complete annual training provided by the College regarding their roles and responsibilities.

Education, Certification, and Licensure:
– Bachelor’s degree in a relevant field is required.

Experience:
– One to two years of progressively responsible experience in student financial aid is preferred.
– Experience in a community college or university setting is preferred.

Working Environment:
– Job responsibilities are primarily conducted in an office building environment.
– Occasional travel may be required for meetings, conferences, trainings, or financial aid presentations at other college locations.
– Duties will involve both independent tasks and collaboration in a team atmosphere.
– Minimal physical exertion is involved, with some requirement for walking, standing, stooping, bending, climbing, and occasionally lifting materials or equipment (5-25 pounds).
– The job may entail exposure to minimal discomfort due to factors such as heat, dust, and noise.
– The typical work schedule is 1st Shift, 8:00 AM – 4:30 PM, with flexibility for extended hours as authorized by the Director of Financial Aid.
