Job description:
Essential Duties:

1. Manage incoming telephone calls, assessing the urgency of each inquiry. Provide assistance or direct callers to the appropriate personnel, contacting physicians or nurses directly for urgent matters. Support fellow receptionists in screening patient calls.

2. Deliver specialized information regarding departmental policies, procedures, insurance, and services. Assist patients in completing necessary forms.

3. Build and maintain monthly provider master schedules and clinic calendars from established sources, verifying provider sessions worked. Adjust schedules to accommodate time off, additional patients, hospital emergencies, and create patient bump lists as needed due to last-minute provider cancellations.

4. Schedule patient appointments while resolving any scheduling conflicts. Notify patients of changes or cancellations and prioritize appointments based on urgency. May involve scheduling patients for clinical research studies.

5. Greet patients and visitors, securing relevant information regarding their needs and directing them appropriately. Update patient records, verify insurance details, assess service levels, and track referrals as necessary. Initiate billing processes by completing patient encounter forms and processing fee-for-service payments.

6. Coordinate the booking of diagnostic tests and specialized appointments at hospitals and other medical facilities, ensuring patients receive the appropriate documentation and instructions for their procedures.

7. Schedule surgical procedures for patients, coordinating available dates for surgery and arranging pre- and post-operative examinations and lab work. Maintain relevant paperwork and track completion status, as well as manage changes to the surgery schedule as required.

8. Organize and coordinate departmental meetings, classes, clinics, conferences, and additional events.

9. Utilize computer systems to input and retrieve data, merge and manipulate information to generate complex reports. Compile and maintain clinical and patient statistical data, producing summaries and reports as needed.

10. Prepare correspondence, clinical information, reports, promotional materials, and educational handouts, as well as compose general written material.

11. Obtain and verify patient charts, medical records, and lab reports for completeness.

12. Sort, screen, and distribute incoming mail. Prioritize medical forms that need completion by clinical staff and facilitate interdepartmental communication, including the distribution of medical records and reports.

13. Establish and maintain organized filing systems.

14. Maintain inventory of office supplies and educational materials.

15. Supervise and mentor support staff as required, ensuring sufficient coverage of the reception desk.

16. Execute other functions incidental to office activities.

Required Education and Experience:

A minimum of four years of related work experience, two of which must be in the same job family at a lower level, alongside a high school diploma; or two years of related work experience combined with an Associate degree; or an equivalent blend of education and experience is acceptable.

This role provides high-level administrative and clerical support to an assigned Disease Team within the Yale Cancer Center (YCC) at Smilow Cancer Hospital.
