As the Front Desk Manager, your responsibilities will include:
– Committing 30-40 hours per week at the school, with schedules subject to school needs
– Participating in a weekly school manager’s meeting for one hour
– Dedicating 4-6 hours weekly for administrative tasks, including completing necessary reports, scheduling private lessons, and managing other documents
– Training and conducting front desk assessments for 4-6 hours weekly, depending on demand. This involves evaluating call quality, conducting sales training, and addressing customer concerns
– Spending remaining hours actively engaging on the front desk, serving as manager on duty, and ensuring the adherence to Aqua-Tots Swim Schools Core Values
– Overseeing the hiring, training, evaluation, and development of office staff
– Setting monthly revenue goals and ensuring organizational standards within the school, in line with the General Manager’s direction
– Maintaining cleanliness and organization from floor to ceiling
– Ensuring accurate tracking of timesheets and employee hours, reconciling time clocks with scheduled shifts prior to payroll submission
– Managing substitutes and resolving scheduling conflicts, and taking responsibility for covering shifts when necessary
– Anticipating staffing needs to maintain quality standards
– Evaluating weekly sales and establishing daily targets, verifying that these targets are met
– Developing and mentoring future leaders to cultivate an outstanding team of front desk representatives
– Scheduling monthly in-service training sessions, including selecting relevant topics
– Implementing Aqua-Tots Swim Schools customer service guidelines to ensure an exceptional customer experience
– Building strong relationships with families by knowing their names and understanding their children’s needs
– Addressing customer concerns effectively to achieve favorable outcomes
– Responding to parent inquiries within 24 hours regarding instructor performance
– Upholding a customer-focused approach in all interactions while reporting unresolved complaints to the General Manager
