Grand Rapids Ophthalmology, a proud partner of Blue Sky Vision, is seeking a Front Desk Specialist to become an integral member of our team. The ideal candidate will possess excellent communication and computer skills, ensuring a positive initial interaction that reflects our commitment to delivering exceptional care from the outset.

Primary Responsibilities:

  • Welcome and greet patients and visitors with a professional and friendly demeanor, assess the purpose of their visit, and guide them to the appropriate personnel or departments.
  • Screen patients for updates on their address, new patient visits, or registration changes.
  • Proactively communicate with patients about what to expect during their appointment, ensuring they are informed of any delays or changes.
  • Respond to inquiries from patients calling the office; manage call transfers as needed, and ensure consistent phone coverage.
  • Carry out daily administrative tasks and general office duties, including word processing, copying, filing, faxing, answering phones, and data entry.
  • Schedule follow-up appointments for patients according to pre-established appointment templates.
  • Uphold professionalism to deliver outstanding customer service; adhere to confidentiality and privacy protocols in compliance with HIPAA regulations.
  • Maintain an organized and neat environment in patient waiting areas, office files, and the reception area.
  • Inform patients of any existing balances in the system and request that they be prepared for payment at the time of their visit.
  • Utilize problem-solving and conflict resolution skills to address patient complaints, referring issues to designated personnel when necessary.
  • Take on additional tasks as assigned by supervisors or management, which may be communicated electronically or verbally.

Education:

  • A minimum of a high school diploma is required.

Skills & Experience:

  • A minimum of 1-3 years of relevant experience is preferred, with a focus on healthcare experience.
  • Familiarity with Electronic Medical Records (EMR) systems is advantageous.
  • Exhibit helpfulness, courtesy, and strong communication and interpersonal skills.
