Position Summary
The Patient Experience Coordinator, reporting directly to the Clinic Manager, plays a pivotal role in shaping the patient’s first and last impressions, as well as their front-office experience. Essential Duties and Responsibilities
The following list outlines the essential duties of the role, although it is not exhaustive. You may be expected to undertake various tasks as required by the evolving demands of the organization:
– Deliver professional, friendly, and compassionate service to all patients and physical therapy staff, handling issue resolution, scheduling, new patient onboarding, insurance verification, and billing.
– Oversee clinic scheduling to ensure optimal clinician-patient matching based on individual needs and facilitate smooth patient flow.
– Conduct new patient onboarding activities, including facility tours, data collection, and introductions to physical therapy staff.
– Verify patients’ medical insurance information and manage insurance requirements, informing patients about their insurance benefits and payment options.
– Coordinate communication of patient progress between physical therapists, physicians, nurse case managers, adjusters, and attorneys.
– Assist in managing patient expectations based on clinical findings, detailing treatment frequency, duration, progression towards functional goals, and discharge planning. Be a point of contact for post-care needs.
– Organize cultural moments, such as celebrations of patients’ physical therapy milestones, in collaboration with the clinical team to ensure all patients feel acknowledged and valued.
– Implement and uphold administrative and patient experience Standard Operating Procedures (SOPs) and best practices within the clinic.
– Provide general office, receptionist, and clerical support to the designated location.

Qualifications
Education:
– High School Diploma or GED

Knowledge and Technical Skills:
– Exceptional customer service skills
– Proficient in MS Office Suite, including Outlook and Excel
– Familiarity with healthcare insurance benefits and coverage is preferred
– Previous experience in managing customer payments is an advantage

Language Skills:
– Proficient in reading, writing, and speaking English

Physical Demands:
– Capacity to engage in typical office activities, including remaining stationary for extended periods, stooping/kneeling/crouching, navigating the office, and employing fine motor skills for tasks such as typing.
