Position Summary
Reporting to the Regional Director, the Patient Experience Coordinator Float (akin to medical receptionist and office coordinator roles) is responsible for shaping the patient’s first and last impressions, as well as the overall front-office experience. This role ensures the delivery of exemplary customer service throughout the patient’s physical therapy journey at Athletico. The position requires providing front office support across multiple clinics within the region.

Essential Duties and Responsibilities

– Deliver professional, friendly, and compassionate service to all patients and physical therapy staff in every interaction, including issue resolution, scheduling, new patient onboarding, insurance verification, and billing.
– Manage clinic scheduling to appropriately match patients with the most suitable clinician for their needs, ensuring optimal patient flow.
– Facilitate new patient onboarding, including facility tours, data gathering, and introductions to physical therapy staff.
– Verify patient medical insurance information, manage insurance requirements, and inform patients of available benefits and payment options.
– Coordinate communication of patient progress to physicians, nurse case managers, adjusters, and attorneys on behalf of physical therapists.
– Assist in managing patient expectations based on clinical findings, including the frequency and duration of treatment, progression toward functional goals, and discharge planning. Serve as a point of contact for post-care inquiries.
– Organize cultural moments, such as celebrating patients’ physical therapy goals, in collaboration with the clinical team to ensure all patients feel recognized and valued.
– Implement and reinforce administrative and patient experience Standard Operating Procedures (SOPs) and best practices within the clinic.
– Provide general office, receptionist, and clerical support to the assigned location.

Qualifications
– Education: High School Diploma or GED
– Knowledge and Technical Skills:
– Exceptional customer service skills
– Proficiency in MS Office, Outlook, and Excel
– Knowledge of healthcare insurance benefits and coverage is preferred
– Experience in managing and requesting customer payments is preferred

Language Skills
– Proficiency in reading, writing, and speaking English

Physical Demands
