We invite you to join our team at Sun RV Resorts as a Guest Services Coordinator, where you’ll embark on an exciting new career path. In this role, you will be responsible for managing routine office and clerical responsibilities within one of our resorts while serving as the first point of contact for current and prospective guests and residents.
As a Guest Services Coordinator, you will collaborate closely with the Resort Manager and other team members to ensure the smooth operation of the resort. Your key responsibilities include:
- Welcoming and establishing rapport with guests and residents, while effectively fielding comments, suggestions, and complaints to the Resort Manager.
- Managing the check-in and check-out processes for guest reservations.
- Performing general administrative duties, including answering phones, typing, copying, faxing, and filing documentation.
- Collecting and posting security deposits, rent, and other service payments using Yardi software.
- Conducting collection calls for site rental payments as directed, including submitting delinquent accounts to collections.
- Overseeing resident move-ins and move-outs.
- Completing and maintaining resort records, reports, and files to ensure accurate documentation.
- Reviewing and coding invoices and statements for management approval.
- Assisting prospective residents by checking the availability of Sun Homes inventory, reviewing property listings, and facilitating home showings, as well as assisting with rental applications at the manager’s discretion.
- Coordinating with the Underwriting team to secure approvals for prospective resident applications and tracking all outcomes.
- Maintaining the petty cash fund and ensuring adequate office supplies are stocked and ordered as necessary.
- Preparing and distributing resort communications, including rule reminders, violation notices, newsletters, and other pertinent announcements.
- Assisting in organizing guest and resident relation events and activities within the resort.
- Supporting the preparation of marketing materials.
- Performing additional duties as assigned.
Qualifications:
- High School Diploma or GED is required.
- A minimum of 2 years of administrative experience.
- A valid driver’s license.
- Exceptional customer service abilities.
- Proficient telephone communication skills.
- Strong problem-solving capabilities.
- Professional appearance and demeanor.
- Intermediate to advanced proficiency in computer applications, particularly Microsoft Office Suite, email, and internet applications, with a focus on timely and efficient data entry.
- Prior experience with Yardi and/or RMS software is a plus.
- Experience in an RV resort office or hotel front desk setting is advantageous.
