Job description:
The Human Resources Assistant (Part-time) is responsible for providing essential support to the Human Resources Department, which is dedicated to enhancing the workplace experience at the City of Troy. This role plays a crucial part in fostering employee welfare, empowerment, growth, and retention, thereby reinforcing the City’s reputation as an employer of choice. The Human Resources Department manages recruitment, employee benefits, safety and wellness programs, performance management, compensation plans, labor negotiations, and compliance with personnel regulations.

Key Responsibilities:

– Provide clerical support to the department, including answering phones, greeting guests, filing, and formatting and updating contracts.
– Assist in the coordination and execution of background checks for prospective employees.
– Facilitate the hiring and onboarding processes by generating employee ID badges, reviewing collected paperwork, and maintaining comprehensive and accurate records.
– Collaborate with Human Resources staff on both long-term and ongoing departmental projects.
– Participate in recruitment activities by scheduling interviews, corresponding with candidates, and preparing interview materials.
– Gather information, summarize relevant data, and produce reports as necessary.
– Develop and utilize templates to ensure document consistency across the department.
– Organize both paper and electronic files, convert paper documents into digital formats, and ensure the accuracy of all documentation.
– Conduct data entry and verify the integrity of entered data.
– Collect, distribute, and manage departmental mail.
– Uphold the highest standards of confidentiality while regularly handling sensitive information.
– Communicate rules, regulations, and procedures to applicants and employees.
– Assist in the planning and coordination of departmental events.
– Support the procurement of supplies and other necessary items for the department.
– Track and maintain ordering information and invoices.
– Serve as backup for processing and reconciling invoices as needed.
– Assist with updating and formatting documents.
– Perform additional duties as assigned.

Requirements:

– Associate Degree (or 60 credit hours toward a Bachelor’s Degree) in Human Resources, Public or Business Administration, or a related field from an accredited institution.
– Two years of recent, relevant work experience supporting a human resources office or similar environment, including maintaining confidential records and involvement in recruitment and selection processes.
– Equivalent combinations of training and experience may be considered.
– Knowledge of relevant laws pertaining to recruitment and selection of job candidates.
– Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
– Demonstrated ability to effectively organize and manage multiple projects simultaneously.
– Possession of a valid Michigan driver’s license with a satisfactory driving record, as per City of Troy standards.
– Successful candidates must pass a background check and a pre-employment physical examination, including a drug screening that encompasses marijuana.

Preferences:

– Bachelor’s Degree in Human Resources, Public or Business Administration, or a related field.
– Experience utilizing applicant tracking systems or online application software, such as ApplicantPro or similar platforms.
– Recent experience in human resources within a municipal, public sector, or non-profit organization.
– Familiarity with human resources information systems, such as Tyler New World Systems or comparable platforms.

Hours:

– Part-time, year-round position, with variable hours ranging from 12 to 28 per week.
– Workdays are Monday through Friday, with some flexibility in scheduling between 8:00 A.M. and 4:30 P.M.
– The preferred schedule is Monday through Friday from 8:00 A.M. to 2:00 P.M. or until 2:30 P.M.
