Job description:
The Lead Clerk position is responsible for providing essential support within the Clerk’s Office of the Legal Division. In this role, the Lead Clerk acts as a primary trainer for newly assigned staff and serves as a knowledgeable resource for procedural inquiries. It is crucial for the Lead Clerk to possess a comprehensive understanding of all unit responsibilities to effectively serve as a backup during staff absences.

Key responsibilities include but are not limited to:

– Delivering clerical support to the Clerk’s Office while assisting the Senior Supervisor in the assigned unit.
– Managing and directing incoming telephone calls efficiently.
– Utilizing the Juvenile Court case information system to accurately enter and retrieve court-related data.
– Filing and stamping documents upon receipt, processing requests for certified copies, and preparing inter-office and outgoing mail for delivery.
– Filing and processing legal documents such as complaints, motions, pleadings, and journal entries.
– Preparing records for appeals and managing requests for transcripts.
– Executing judicial orders to seal and expunge records, responding to fax requests, and tracking legal files.
– Initiating family information, assigning case numbers, and preparing files for court proceedings.
– Processing, scanning, and proofing returned service documents and maintaining updated case party and attorney information.
– Issuing warrants, service notices, Civil Protection Orders, bonds, and IV-D information.
– Providing frontline support to resolve work-related issues and consulting the Senior Supervisor for unresolved matters.
– Conducting training sessions for new staff to ensure adherence to training protocols and unit procedures.
– Assisting with the development and implementation of new or revised procedures under the guidance of the Senior Supervisor.
– Serving as a mentor for new staff members, facilitating their acclimatization to the Clerk’s Office environment.
– Assisting in coverage and resolution of work-related issues during the Senior Supervisor’s absence and providing feedback regarding additional training needs.
– Submitting recommendations for procedural improvements.

While the Lead Clerk does not hold direct supervisory responsibilities, they are instrumental in fostering a collaborative and efficient work environment.

The successful candidate will demonstrate proficiency in standard office equipment, computer applications, and be adept at managing a high volume of inquiries with professionalism and courtesy.
