Job description:

The MBTA Maintenance Coordinator is a part-time position tasked with maintaining and overseeing the Michigan Branch of the Telluride Association (MBTA), a scholarship house located in Ann Arbor, MI. This role encompasses the management of regular building inspections, addressing repair and maintenance requests, overseeing contractors, and ensuring compliance with safety regulations. The position requires hands-on maintenance expertise across various disciplines, including plumbing, electrical work, HVAC, groundskeeping, and general repairs. Additionally, the Maintenance Coordinator is responsible for maintaining accurate maintenance records, operating within budget constraints, and contributing to the annual budget planning process.

This role reports directly to the Michigan Program Manager and collaborates closely with kitchen and office staff, as well as student residents and the student Employee Coordinator(s).

Position Type: Hourly Non-Exempt, Regular Part-Time
Work Schedule: 20 hours per week during M-F business hours, with a set schedule coordinated with the supervisor. Evening and weekend hours may occasionally be required.

Required Qualifications

  • Minimum of 3 years of professional experience in construction or residential maintenance.
  • Proficient in all aspects of building maintenance, repair, and service, with basic carpentry, painting, and handyman skills.
  • Strong working knowledge of plumbing, electrical systems, HVAC, and general building systems.
  • Exceptional communication and interpersonal skills, with the ability to engage effectively and respectfully with a diverse range of residents, staff, Board members, vendors, and contractors.
  • Ability to work independently, efficiently managing workload and scheduling.
  • Strong project management skills coupled with the capability to oversee contractors.
  • Competence in following both oral and written instructions, troubleshooting problems, and taking appropriate action.
  • Dependable and reliable.
  • Proficiency in the general use of email and office software, such as Google Drive.
  • Valid driver’s license and a clean driving record.
  • Must be 18 years of age or older to comply with Federal Labor Standards Act restrictions on the operation of power tools.

  • Willingness to work flexible hours, which may include evenings and/or weekends as necessary.

Responsibilities
Maintenance – 80%

  • Conduct regular inspections of the house to identify maintenance needs.
  • Perform or coordinate basic repairs to units and buildings utilizing electrical, plumbing, carpentry, masonry, HVAC, and painting skills.
  • Respond promptly to maintenance requests from residents, completing all work orders in a timely manner.
  • Maintain property materials, tools, and supply inventory for efficient operations, including purchasing supplies as necessary.
  • Regularly order kitchen and sanitation supplies for the house.
  • Coordinate the turnover and preparation of the house for each semester, program, and event.
  • Perform grounds maintenance tasks, including litter removal and cleaning designated areas.
  • Ensure compliance with all applicable fire, safety, and health codes.
  • Notify the Michigan Program Manager of any unusual occurrences or damage.
  • Oversee lawn care, snow removal, and other subcontracted facilities services.
  • Schedule and manage minor repair work performed by external contractors in consultation with the Michigan Program Manager.
  • Complete all work within budgetary constraints.
  • Foster good working relationships with residents, staff, Board members, vendors, and contractors.

Administration – 15%

  • Coordinate inspection schedules and liaise with inspectors as needed.
  • Attend monthly meetings with student Employee Coordinator(s).
  • Document all maintenance activities and associated costs for reporting and budgeting.
  • Maintain accurate records of preventative maintenance, service requests, expenditures, room and system statuses, and ongoing work projects.
  • Assist the Michigan Program Manager and Board in developing and coordinating major renovation plans and budget estimates.

Professional Development – 5%

  • Pursue professional development opportunities with supervisor approval.

Other Responsibilities

Work Environment and Physical Demands

  • Essential physical requirements include the ability to squat, kneel, bend, twist, balance, climb, and perform fine motor tasks, with the capacity to lift and carry up to 75 pounds and push/pull up to 100 pounds. Duties may involve frequent exposure to confined spaces, loud noise, slippery or uneven surfaces, heights, and adverse weather conditions.
  • Visual concentration is required for the successful performance of duties.
  • Hazards include exposure to inclement weather, dust, fumes, cleaning chemicals, and power tools.
