At Great Wolf, the Conference Services Manager plays a pivotal role in ensuring the successful execution of meetings, events, and programs, overseeing all phases from pre-arrival to post-departure. This position is instrumental in enhancing the client experience and generating revenue through strategic upselling and on-site revenue opportunities.

Essential Duties & Responsibilities

  • Develops and manages group reservations within the OPERA S&C system.
  • Assists in preparing the 30-60-90 day catering forecast on a weekly basis.
  • Completes Banquet Event Orders (BEOs) and Resumes for clients and operational departments, detailing specific requirements, agreed-upon arrangements, and pricing for meetings, events, and programs.
  • Leads weekly BEO meetings with the director of food & beverage, banquet manager, banquet chef, and relevant stakeholders to optimize budget and sales objectives while ensuring effective operational execution.
  • Provides comprehensive information regarding the group’s needs from arrival to departure.
  • Serves as the primary liaison between the lodge and the groups, ensuring the meeting space is properly arranged and addressing any special requests or activities, both on-site and off-site.
  • Prepares group Resumes, which outline group purpose, room/suite types, occupancy details, rates, special arrangements, VIP information, meeting and recreation agendas, AV requirements, accounting instructions, and any other operational directives.
  • Achieves monthly revenue targets for upselling banquets as established by the director of sales and catering.
  • Welcomes clients upon arrival and introduces them to key hotel personnel.
  • Communicates any last-minute changes regarding group functions to hotel staff and ensures they are implemented satisfactorily.
  • Plans and conducts pre-convention meetings at the request of the client.
  • Addresses and resolves complaints from groups and attendees, including matters related to billing and reservations.

Basic Qualifications & Skills

  • Associate’s degree in hospitality, hotel management, or a related field.
  • A minimum of one year of experience in event or conference planning, or related hospitality roles.
  • Proficient in Microsoft Office Suite.
  • Successful completion of a criminal background check and drug screening.
  • Excellent professional communication skills, both verbal and written.
