Job description:

We are seeking a dedicated and energetic Medical Office Manager with billing expertise to join our team at Integrated Autism Center LLC in a full-time capacity. The ideal candidate will be highly organized, adept at multitasking, and passionate about fostering a positive learning environment for children.

Position Overview:
As the Office Manager, you will play a pivotal role in ensuring the smooth operation of the center. You will leverage your organizational, multitasking, and communication skills to support our daily activities. A strong sense of urgency and the ability to quickly prioritize tasks will be essential to your success in this busy environment.

Your responsibilities will include:

  • Front desk operations Monday through Friday from 7:45 am to 4:30 pm.
  • Handling receptionist duties such as answering phones, sending and receiving faxes, responding to emails, and managing client check-in/out processes.
  • Overseeing client intake procedures, including conducting tours, reviewing admission forms, and scheduling assessments.
  • Managing insurance correspondence, specifically benefit verifications and pre-authorization requests.
  • Administering office supply purchases to maintain stock levels.
  • Creating and tracking daily schedules for clients and staff, including cancellations.
  • Executing billing tasks, including weekly claim submissions, benefit checks, and authorizations.
  • Ensuring the lobby and conference room are kept clean and orderly.
  • Planning monthly client field trips, including collecting permission slips and arranging transportation.
  • Facilitating staff onboarding by preparing uniforms and lockers and reviewing the employee handbook.
  • Organizing events for clients, such as Monthly Community Workshops and Quarterly Autism Community Social Events.
  • Coordinating events for staff, including Quarterly in-service training sessions and team-building activities.
