Job description:
The Office Operations Assistant is a dynamic role focused on fostering a welcoming atmosphere for visitors, providing professional front desk coverage, and assisting with minor maintenance and facility tasks. This position is integral to the successful functioning of day-to-day operations, ensuring the office environment remains safe, clean, and efficient.
This in-office role operates within a professional setting and involves occasional engagement with minor maintenance tasks. Standard office hours are from Monday to Thursday, 9:00 AM to 3:30 PM, with some flexibility required for special events or urgent maintenance needs. Candidates must be able to lift at least 15 pounds.
Phone Management:
- Promptly and professionally answer, screen, and direct all incoming phone calls.
- Accurately take and relay messages to the appropriate staff members in a timely manner.
- Maintain an organized phone log to track communications and ensure follow-ups on missed calls.
Delivery Handling:
- Receive, sort, and distribute all incoming US mail, packages, and courier deliveries efficiently.
- Ensure timely delivery of items to the correct recipients.
- Keep detailed records of all incoming deliveries for accurate tracking.
Visitor Engagement:
- Greet and assist visitors to ensure a positive and professional experience.
- Manage the visitor log, issue visitor badges as required, and inform meeting coordinators of guest arrivals.
- Provide clear directions and information to visitors while addressing inquiries or requests.
- Coordinate with internal team members to direct visitors to the appropriate meetings or individuals.
Facilities and Maintenance Support:
- Attend to small maintenance tasks such as changing accessible light bulbs, clearing walkway paths, and managing recycling efforts.
- Conduct regular office walkthroughs to identify and report maintenance needs.
- Restock supplies in communal areas, including kitchens and restrooms.
- Collaborate with the facilities manager for vendor coordination on larger repair or maintenance projects.
- Maintain cleanliness and organization of the reception area and lobby at all times.
Office Open/Close Responsibilities:
- Execute opening and closing procedures for the office, ensuring lights are turned off and doors are securely locked at the end of each day (Ann Arbor location).
- Assist with the preparation of meeting rooms, including setting up furniture and testing AV equipment.
- Ensure conference rooms are ready for meetings by cleaning whiteboards, restocking markers, and ensuring hygiene supplies are readily available.
Emergency Procedures:
- Demonstrate knowledge of emergency exits, evacuation procedures, and designated meet-up locations.
- Assist in evacuating the office during emergencies and guide visitors and staff to safety.
General Support & Special Projects:
- Collaborate effectively with internal and external stakeholders to handle inquiries with professionalism and efficiency.
- Provide administrative assistance across departments as needed and support various projects.
- Direct external requests for information or assistance to the relevant UWSEM department.
- Participate in cross-functional teams, contributing unique skills and strengths to support UWSEM’s mission, which may include aiding in various events, programs, or initiatives within the organization.
