Job description:

The Office Operations Assistant is a multifaceted role focused on fostering a welcoming atmosphere for visitors, providing essential front desk coverage, and assisting with minor maintenance and facilities tasks. This position is integral to ensuring the seamless operation of daily activities while maintaining a safe, clean, and functional office environment. This is an in-office role situated in a professional setting, which may occasionally involve minor maintenance responsibilities. Standard office hours apply, with some flexibility required for special events or urgent maintenance needs.

Phone Management

  • Answer, screen, and direct all incoming phone calls promptly and professionally.
  • Take detailed and accurate messages, ensuring timely communication to the appropriate staff members.
  • Maintain a well-organized phone log to track missed calls and ensure no communications are overlooked.

Delivery Handling

  • Receive and sort all incoming U.S. mail, packages, and courier deliveries.
  • Ensure timely distribution of all deliveries to the correct recipients.
  • Maintain clear records of all incoming deliveries for accurate tracking and delivery status updates.

Visitor Engagement

  • Welcome and assist all visitors, ensuring a positive and professional experience.
  • Manage the visitor log, issue visitor badges as needed, and promptly inform meeting coordinators of guest arrivals.
