Job description:

The Officer Manager will play a vital role in supporting the Corps Officers and acting as a leader within the Cleveland West Park Corps. This position is essential in advancing The Salvation Army’s mission through comprehensive administrative support, facility oversight, office management, staff coordination, project management, communication facilitation, policy implementation, and program assistance for the West Park Corps.

Responsibilities

Essential Duties and Responsibilities

Administration

  • Process, transmit, and file payroll data under the supervision of the Corps Officer.
  • Maintain and manage all Human Resources records, forms, and documentation, ensuring compliance and accuracy.
  • Assist with routine financial operations, including counting, deposits, and report generation.
  • Conduct performance evaluations and compile reports for the administration department in partnership with the Corps Officers.
  • Facilitate onboarding training for new staff and ensure ongoing refresher training for staff and volunteers per established guidelines.
  • Manage personnel scheduling, including PTO, training, celebrations, and events.
  • Oversee coordination with non-paid workers and volunteers, including Court Community Service and AARP, and assist with their recruitment and training.
  • Coordinate the pick-up, record-keeping, and distribution of donated goods.
  • Ensure the efficient operation of the office by organizing facility operations, preparing payroll, submitting statistical reports, managing correspondence, handling the facility calendar, designing operational systems, reviewing supply requests, and delegating and monitoring clerical tasks.

Office Management

  • Assist the Corps Officers with communications related to the corps business, including mail management, phone and email correspondence, scheduling receptionist coverage, and statistical report submissions.
  • Manage and maintain all office files, materials, equipment, and supplies.
  • Serve as a primary point of contact for operational inquiries and collaborate with Corps Officers to manage facility maintenance schedules.
  • Perform clerical duties such as correspondence, filing, copying, and mailing.
  • Ensure all required licenses are up to date.
  • Maintain the corps calendar, including events, community activities, social services, and facility projects.
  • Arrange for the procurement of necessary supplies for corps operations.

Program/Event Support

  • Collaborate with officers and department managers to assess program needs and address complex program-related issues.
  • Provide coverage during pantry intake sessions and assist with direct food distribution as needed.
  • Support regular program activities, including feeding programs, pantry services, seasonal Christmas efforts, and outreach events.
  • Aid in the creation and translation of program promotional materials.
  • Assist Corps Officers in community collaborative efforts as needed.

Other Duties and Responsibilities

  • Attend and actively contribute to Department Head and General Staff Meetings.
  • Communicate matters of mutual concern regarding the total corps program and staff to the Corps Officer.
  • Engage with the overall corps program and demonstrate a willingness to assist in various areas as needed.
  • Perform other duties as assigned by the Corps Officers.

Qualifications

Minimum Education and/or Experience

  • Bachelor’s degree preferred, but not required.
  • Prior experience in management, clerical, or customer service roles is an advantage.

Special Skills, Certificates, Licenses, Registrations

  • Analytical thinker with strong attention to detail.
  • Proficient command of the English language, with exceptional computer and typing skills demonstrating high accuracy.
  • Fluency in Arabic and/or Spanish is highly preferred.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, and Publisher).
  • Exhibits a customer-friendly demeanor and the ability to communicate effectively with internal and external stakeholders.
  • Self-motivated with the ability to work independently and maintain confidentiality.
