Job description:

The Officer Manager will play a pivotal role in supporting the Corps Officers and leading operations within the Cleveland West Park Corps. This position is essential for advancing The Salvation Army’s mission by delivering comprehensive administrative support, overseeing facility management, coordinating staff and projects, facilitating communication, implementing policies, and supporting the various programs of the West Park Corps.

Responsibilities:

Administrative Duties:

  • Process, transmit, and file payroll data under the supervision of the Corps Officer.
  • Maintain and manage all Human Resource records, forms, and documents in conjunction with the Corps Officer.
  • Assist with regular financial operations, including counting, deposits, and reporting.
  • Conduct performance evaluations for administrative departments in collaboration with the Corps Officers.
  • Assist in onboarding training for new staff and ensure refresher training is completed for staff and volunteers according to established guidelines.
  • Manage personnel schedules, including staff PTO, training, celebrations, and events.
  • Oversee and coordinate with various entities providing non-paid workers and volunteers; assist with scheduling, training, and recruitment efforts.
  • Coordinate the pick-up, recordkeeping, and distribution of donated goods.
  • Ensure the efficient functioning of the office by organizing operations and procedures, preparing payroll, submitting statistical reports, controlling correspondence, managing the facility calendar, and reviewing supply requisitions.

Office Management:

  • Assist the Corps Officers with communications related to corps business, including mail distribution, phone calls, email correspondence, scheduling receptionist coverage, and submitting statistical reports.
  • Maintain all office files, materials, equipment, and supplies.
  • Serve as a primary point of contact for operations, managing facility repairs and upkeep schedules in collaboration with the Corps Officers.
  • Perform clerical duties, including correspondence, filing, copying, and mailing.
  • Ensure all required licenses are current and managed appropriately.
  • Keep the corps calendar up-to-date with events, community activities, and facility projects.
  • Coordinate the procurement of supplies essential for corps operations.

Program/Event Support:

  • Collaborate closely with officers and department managers to anticipate program needs and address complex workplace situations.
  • Provide coverage for pantry intake sessions and assist with direct food distribution as required.
  • Support regular program activities, including feeding initiatives, pantry operations, seasonal events, and outreach efforts.
  • Assist in creating and translating promotional materials for programs.
  • Support Corps Officers in community collaboration efforts as needed.

Additional Duties:

  • Participate in and contribute to Department Head and General Staff Meetings.
  • Share matters of mutual concern relating to the total corps program and staff with the Corps Officer.
  • Engage in various corps programs, demonstrating a willingness to assist in all areas as needed.
  • Perform other tasks as assigned by the Corps Officers.

Qualifications:

  • Bachelor’s degree preferred, though not required.
  • Prior experience in management, clerical work, or customer service is advantageous.

Special Skills and Competencies:

  • Strong problem-solving abilities and attention to detail.
  • Excellent command of the English language, with proficient typing and computer skills.
  • Fluency in Arabic and/or Spanish is highly preferred.
