Position Overview: As the Executive Assistant to the CEO, you will serve as a vital partner to the CEO, ensuring operational excellence in both strategic initiatives and daily administrative functions. Your responsibilities will include managing the CEO’s calendar, coordinating projects, supporting recruitment efforts, preparing presentations, organizing travel arrangements, and addressing confidential matters with the highest degree of discretion.
Key Responsibilities:

Executive and Administrative Support:
- Assist the CEO in prioritizing and managing daily tasks as well as weekly objectives.
- Maintain and organize both professional and personal calendars, schedule appointments, and manage logistics for meetings and events.
- Draft and respond to emails on behalf of the CEO, manage phone communications, and produce reports and presentations.
- Organize and maintain documents, providing support to the CEO with various personal tasks as required.

Human Resources and Recruitment:
- Facilitate hiring efforts through posting job openings, conducting initial phone screenings, scheduling interviews, and performing reference checks.
- Ensure a seamless experience for candidates from interview to onboarding.

Communication and Information Management:
- Prepare and edit correspondence and presentations with professionalism.
- Conduct research on competitors and industry trends to inform strategic planning.
- Maintain confidentiality regarding all business and personal information.

Event and Travel Management:
- Plan and coordinate company events and special functions, managing logistics with external vendors.
- Arrange domestic travel for the CEO, attending to every detail.
- Office and Project Support:
- Provide administrative support to other departments as needed, including preparing client packages, managing invoices, and ordering supplies.
- Assist in office organization and handle routine clerical tasks to maximize the CEO’s efficiency.

Requirements:
- A minimum of 3 years of experience as an Executive Assistant or in a comparable administrative role.
- Typing speed of at least 55 words per minute.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Suite.
- Exceptional communication skills, both verbal and written.
- Highly organized with the ability to manage multiple tasks and adapt to changing priorities.
- A professional, service-oriented mindset complemented by strong interpersonal skills.
- Experience in managing sensitive information with confidentiality and discretion.
- Tech-savvy with solid typing skills (minimum 40 words per minute).
