About the Role:
The Practice Administrator is tasked with the on-site operational management and support of the Sound Physicians practice. This individual will serve as a primary point of contact with hospital leadership and support staff to effectively manage practice operations. With a prominent presence at the hospital, the Practice Administrator will support the clinical team and identify opportunities to eliminate operational barriers. The role involves building and maintaining professional relationships with the entire practice team, including hospital C-suite executives, case management, community providers, and specialty physicians.
The Details:
This position operates on-site at our practices located within the hospital and will oversee three locations across the Akron, Canton, and Dover areas.
In this role, you will be responsible for:
Practice Operations and Support
- Collaborating with the medical director to set the strategic direction of the medical group, addressing patient care, physician employment and staffing models, strategic planning, marketing, and financial performance.
- Acting as the primary liaison for the provider team with hospital C-suite executives, nursing leadership, and the Sound operational team.
- Providing executive support to the practice medical director and team to fulfill contract expectations.
- Managing contracts by tracking renewal timelines and annual escalation anniversaries.
- Overseeing office management functions, including meeting management, office systems, supplies, and practice events.
- Working alongside the Medical Director and Practice Management Team to develop and maintain site practice policies and procedures.
- Facilitating daily patient census/reconciliation and multi-disciplinary rounds as applicable.
- Establishing reports and trackers to enhance visibility into practice performance.
- Managing all recruitment activities, including coordinating onsite interviews with hospital leadership and ensuring a positive candidate experience during interviews and site visits.
- Overseeing comprehensive onboarding and orientation processes for new clinicians, locums, and ambassadors.
- Developing and maintaining practice orientation checklists and policies.
- Ensuring timely completion of recredentialing for licensed providers in compliance with requirements set by Sound and the hospital Medical Staff Office.
- Managing hospital privileging and payer enrollment processes to ensure readiness prior to patient care.
- Collaborating with the hospital Medical Staff Office to troubleshoot barriers to timely operational starts.
- Ensuring compliance with billing and documentation standards for the practice.
- Facilitating clinicians’ participation in mandatory compliance training and ensuring that queries and engagement in compliance activities are timely.
- Participating in all relevant medical group training provided by Sound.
- Supporting clinicians during annual benefits open enrollment, demonstrating a comprehensive understanding of Sound’s benefits plan, including assistance with life event changes in Sound’s HR Information System.
- Serving as the primary contact for all Human Resources matters, ensuring compliance with employment laws and Sound policies.
- Administratively supporting clinician employment agreement amendments as needed.
- Acting as a super user for all software applications, providing support for hospital software and hardware systems.
- Establishing and maintaining group norms for the practice team under the guidance of the medical director.
- Maintaining visual and management boards to support team communication and recognition.
- Training and mentoring practice coordinators as needed.
- Promoting participation in Sound’s bedside and colleague engagement surveys.
Financial Operations
- Collecting, tracking, and analyzing all financial and operational data related to the site.
- Reviewing and validating shift and productivity data for payroll processing each month, including physician incentives and bonuses for timely payment.
- Assessing the P&L for performance and participating in budget creation and maintenance.
- Creating and optimizing clinical schedules to ensure accurate documentation of shifts for payroll processing while promoting practice sustainability and continuity of patient care.
- Contributing to the Monthly Operating Review and Monthly Performance Reviews focusing on financial, clinical, and operational performance.
- Assisting in the development of proformas and pricing changes.
- Providing comprehensive support for all financial matters at the site, including contract stipends and expense reimbursements.
Client Retention
- Acting as an ambassador for Sound Physicians, promoting opportunities for the medical group to expand its impact.
- Serving as an administrative liaison to hospital executives and staff regarding their needs.
- Coordinating practice events (such as team meetings and JOCs) and ensuring that client-facing materials reflect current Sound standards.
- Maintaining accurate hospital contact information and documenting any changes in Salesforce.
- Understanding contract terms and responsibilities related to execution, including renewal dates and payment terms.
- Ensuring the accuracy of the PCP database and managing outreach to PCPs for patient lists.
