Job description:
Essential Duties
1. In alignment with the organization’s overarching mission, plan, direct, and oversee programmatic activities.
2. Develop, implement, and maintain operational policies and procedures.
3. Manage program communications; identify outreach opportunities, and promote philanthropic and collaborative support for the program.
4. Collaborate closely with leadership, internal and external colleagues, and community stakeholders to further refine and implement strategic plans.
5. Identify, solicit, and cultivate community partnerships and collaborations to assist in the development and growth of the program.
6. Track all program activities and provide regular updates to leadership on the progress of each initiative. Recommend structural or programmatic adjustments based on a comprehensive understanding of the missions, goals, and objectives. Develop metrics to assess and measure the program’s success.
7. Assist in the identification and evaluation of potential funding sources, contributing to the submission of grants and contracts that support the program. This includes the preparation of annual submissions and drafting of content and budget sections for grant applications.
8. Develop and manage the program’s operating budget.
9. Oversee the administrative infrastructure of the program, including human resources functions such as staffing, hiring, supervision, performance development, and, if necessary, counseling and discipline. Manage information systems, facilities, and spatial requirements.
10. Perform other duties as assigned.

Position Focus
The Movement Project at Yale Law School (MVP) addresses the critical need for reform in migration laws and frameworks in response to climate and demographic changes, while advancing the interests of working people and upholding humanitarian goals. The Project collaborates with national, international, and community-based experts in labor, climate justice, immigration, and democracy to conduct actionable research, convene stakeholders, engage in advocacy or litigation, and test research in targeted policy reforms.
The Movement Project seeks to hire a Program Administrator to coordinate a diverse array of activities, functions, and projects.
The Program Administrator will:
– Collaborate with the Executive Director (ED) to manage the Project’s events, recruitment, hiring, fundraising, budget, and finances. Develop objectives, practices, and procedures to ensure achievement of operational goals in these areas.
– Work with the ED to coordinate the daily operations of the Project.
– Support the ED in programmatic tasks, including meeting planning, research, writing, and advocacy as appropriate.
– Provide guidance and foster collaboration with both internal and external partners as necessary.
– Assist the ED with recruitment, hiring, onboarding, payment processing, and extension of Project staff and fellows, along with the development and monitoring of budgets.
– Assist in fundraising efforts, proposal development, and reporting to funders.
– Conduct financial forecasting and oversee monthly expenditures. Collaborate with the Business Office to develop and maintain the center’s account structure, ensuring that expenditures are appropriately charged to available funding, and review reports for accuracy.
– Collect and prepare all necessary documentation for contracts and service agreements.
– Organize and oversee logistics for convenings, workshops, speaker series, and other events.
Perform other duties as assigned.
Preferred Education, Experience, and Skills
Demonstrated commitment to research and advocacy on rights-based and/or social justice issues, whether in the US or internationally. Experience in event planning from conception to execution. Proven experience managing contracts, grants, and financial processes associated with events and programming.
