Job description:
The Programs Project Manager at GSSEM plays a vital role in coordinating personnel, processes, budgets, and resources to ensure that all projects, programs, and events create a significant impact for girls while being delivered with efficiency and sustainability in alignment with program scopes. This individual will oversee project management and develop strategic project initiatives across all program departments.
Working in collaboration with the Chief Program Officer, the Project Manager will assist in establishing priorities, launching new programming, and aligning resources for various programs and events under the Program Department’s purview. Key responsibilities include planning and allocating project resources, making informed recommendations regarding action items, monitoring project progress, collaborating strategically with funding sources, and ensuring that all stakeholders remain informed throughout the project lifecycle. The Project Manager will be integral from project inception through to implementation across all programs.
KEY RESPONSIBILITIES
- Develop comprehensive project plans, ensuring the availability and strategic allocation of resources while establishing project timelines and action items.
- Create both long-term and short-term plans, including setting milestone targets within project frameworks.
- Monitor project progress and deliverables, maintaining appropriate follow-up with both internal and external stakeholders.
- Collaborate with the Chief Program Officer and Program Directors to define project scopes, objectives, and other elements in line with the strategic planning memo required for all programming.
- Coordinate and oversee internal and external resources to ensure timely, on-scope, and on-budget delivery of all projects, programs, and events.
- Manage project-specific budgets, tracking revenue and expenditure for each program, initiative, or event.
- Act as the primary point of contact for teams working across multiple departments.
- Conduct quality control reviews throughout project timelines to ensure adherence to deadlines and objectives.
- Adjust project timelines, resources, and strategies as necessary.
- Evaluate the effectiveness of events by integrating feedback mechanisms into the project plan from the outset, including the development of feedback surveys.
- Identify new target audiences and collaborate with council departments to fulfill program goals and objectives.
- Provide tailored project management tools suitable for each project, program, event, or initiative.
- Create and update standard operating procedures to enhance efficiency within the Program Team.
- Maintain an up-to-date program tracking list with accurate information.
- Approve marketing and communication requests from the Program Team prior to submission to the Marketing and Communications department for final approval.
- Assist in conducting interviews as needed.
- Perform other duties as assigned.
REQUIREMENTS
Education
- Bachelor’s degree in a relevant field or equivalent experience is preferred.
- Project Management Certification is desirable.
- A minimum of three (3) years of experience in project management and program implementation and/or event planning with a degree, or a minimum of five (5) years of experience without a degree.
Position Qualifications
- Registration as a member of Girl Scouts of the U.S.A. is required, either prior to or upon employment.
- Experience in budget management; grant management experience is an asset.
- Proven ability to manage multiple high-priority tasks and initiatives concurrently.
- Exceptional written and verbal communication skills.
- Demonstrated creative thinking, problem-solving, and innovative skills.
- Strong administrative and teamwork capabilities.
