Job description:
This is an on-site position, Monday to Thursday, from 2:00 PM to 7:00 PM.
SUMMARY: This role involves managing the front desk operations, greeting clients, and handling incoming phone calls. The receptionist will be responsible for obtaining electronic signatures on all new client intake documents and will maintain strong communication with the office manager and therapists. All agency staff are expected to prioritize quality improvement as an integral part of their responsibilities, contributing to an environment that is safe and conducive to healing for both clients and staff. This includes, but is not limited to, fostering teamwork, enhancing service delivery, achieving departmental goals, and undertaking job-specific tasks that promote excellence.

– Fostering a ‘team first’ spirit and atmosphere within the workplace, promoting effective working relationships within the assigned regional Encompass team and across other agency departments.
– Creating a welcoming environment for guests and visitors, serving as the ‘face’ of the office/agency through friendly, compassionate, and inviting interactions.
– Answering, screening, and directing telephone calls to the appropriate personnel.
– Conducting initial intakes for potential clients who call.
– Greeting clients and visitors and directing them to the appropriate area or individual.
– Scheduling client appointments and distributing necessary paperwork.
– Composing and typing routine correspondence.
– Overseeing routine office maintenance, including cleaning oversight; ensuring the reception area remains tidy and organized.
– Managing vehicle and room reservations and schedules.
– Providing additional clerical and administrative support as needed.
Other duties may be assigned.

EDUCATION AND EXPERIENCE: A high school diploma or GED is required; one to three months of related experience and/or training, or an equivalent combination of education and experience.
LANGUAGE SKILLS: The ability to read and comprehend simple instructions, short correspondence, and memos is essential. The candidate must be able to write simple correspondence and effectively present information in one-on-one and small group settings to customers, clients, and colleagues.
MATHEMATICAL SKILLS: Proficiency in adding and subtracting two-digit numbers, as well as multiplying and dividing by tens and hundreds, is required. Candidates should be able to perform these operations relating to U.S. currency and weight measurement, volume, and distance.
REASONING ABILITY: The ability to solve practical problems and handle a variety of concrete variables in situations lacking standardization. Candidates must be able to interpret a range of instructions provided in written, oral, diagrammatic, or schedule form.
COMPUTER SKILLS: Proficiency in using a computer effectively is required, including familiarity with the internet, accounting and database software, as well as Microsoft Outlook, Excel, and Word.
