Your Opportunity
We are seeking a part-time Receptionist/Administrative Assistant to support the Office Coordinator in managing the reception desk at our Ann Arbor, Michigan office. As a key member of the Administrative Team, you will provide essential daily support to the office, colleagues, and project teams as required.

Your Key Responsibilities

Receptionist/Administrative Assistant tasks – 50% of the role

  • Perform clerical and administrative functions, including filing, sorting, and handling mail and packages, as well as scheduling appointments and events.
  • Maintain office security by adhering to safety procedures and controlling access at the reception desk (monitor logbook, issue visitor badges, etc.).
  • Answer incoming calls and warmly greet guests.
  • Assist in event planning and preparation.
  • Order office supplies and manage supply inventory.
  • Review and submit invoices for payment to Accounts Payable.
  • Conduct monthly Health and Safety checks on equipment such as AEDs, fire extinguishers, and first aid kits.
  • Assist with printing and laminating tasks.
  • Ensure the proper operation of printing and laminating equipment by completing preventative maintenance and coordinating repairs as necessary.
  • Format internal and external communications, including memos, letters, correspondence, and reports.
  • Support HR initiatives and facilitate the onboarding process.
  • Keep kitchen supplies stocked and manage the unloading of the dishwasher.
  • Undertake additional administrative duties as requested.

Office Safety and Environment Coordinator tasks – 50% of the role
As the designated Office Safety and Environment Coordinator (OSEC), you will serve as a resource for local office operations in managing daily Health, Safety, Security, and Environmental activities. The OSEC is responsible for promoting Stantec’s safety initiatives and sustainability programs, and may assist in developing and revising related tools and documentation. Your duties will include, but are not limited to:

  • Maintain a secure filing system for forms, reports, and training records required by the HSSE Program.
  • Act as a local resource for the HSSE Program, addressing employee feedback and concerns. Present relevant topics during OSEC meetings and/or Joint Health and Safety Committee meetings.
  • Assist project managers and supervisors in obtaining necessary safety and environmental equipment for their project teams.
  • Conduct HSSE Program orientation for new employees.
  • Distribute and post HSSE Program documents, including policies, rules, practices, procedures, and forms.
  • Support supervisors and project managers in preparing and filing incident reports and conducting follow-up investigations, as well as completing corrective actions when necessary.
  • Contribute to tracking Stantec’s eco-footprint by providing information on resource management at the office level. Disseminate corporate environmental commitments to local operations.
  • Communicate HSSE initiatives effectively and support messaging within your area of responsibility.
  • Participate in regional OSEC conference calls.
  • Assist in facility or office inspections when required.
  • Coordinate HSE training as necessitated by HSSE Program requirements and hazard assessments.
  • Engage in HSSE professional development opportunities as needed.
  • Schedule or coordinate medical surveillance activities for required employees.

Qualifications

Your Capabilities and Credentials

  • Proficient written and verbal communication skills.
  • Ability to follow up in a timely manner and effectively prioritize multiple tasks with meticulous attention to detail.
  • Capability to work both collaboratively and independently, while adapting to various personality styles and management levels.
  • Proficient in computer applications for word processing, spreadsheets, databases, internet browsing, email, calendars, and software including Teams, Adobe, as well as having intermediate to advanced skills in Microsoft Office products (Outlook, Word, Excel, and PowerPoint).

Education and Experience

  • Minimum of a High School Diploma or equivalent.
  • At least two (2) years of experience in a professional office environment.
