Full-Time Receptionist
Qualifications: The ideal candidate must demonstrate exceptional interpersonal skills and possess the ability to engage effectively with a diverse range of individuals. Scope and Purpose: The Receptionist acts as a representative of this living center within the community, supporting the Administrator in fulfilling the property’s overall administrative responsibilities. All duties will be performed in alignment with the center’s philosophy.
Duties and Responsibilities:
1. Act as an ambassador of goodwill to all individuals entering the living center.
2. Answer and screen incoming telephone calls courteously and professionally, directing calls and taking messages as appropriate.
3. Forward messages via email to managers, supervisors, and medical technicians, and hold written messages for staff during their breaks.
4. Welcome visitors in a friendly, professional manner, ensuring they sign in at the reception desk and notifying residents of their visitors. Provide instructions to visitors according to residents’ requests.
5. Provide basic information about the living center, including brochures and informational packets, to individuals seeking details.
6. Sort and distribute mail on the same day it is received.
7. Maintain records and statistics related to inquiries.
8. Assemble and keep a stock of inquiry packets, move-in packets, employee orientation packets, and other folders as directed.
9. Prepare name tags for resident door pockets and new employees as instructed.
10. Manage the inventory of office supplies in the workroom, presenting a list of needed items to the Office Manager or Community Relations Liaison.
11. Prepare event notices for distribution to the Housekeeping Supervisor or Community Relations Liaison for posting; create invitations for mailing, and print daily event notices for table tents.
12. Conduct pre-screening questions and assist interviewees with completing paperwork; submit completed information to the Resource Manager.
13. Type weekly menus for posting.
14. Perform ECP data entry as directed.
15. Input work orders into the computer system.
16. Adhere to policies, procedures, and practices outlined in the Heritage Property Management Operations Manual, ensuring compliance with state and local licensing regulations, as well as federal and state fair housing guidelines.
17. Monitor activity in the front lobby.
18. Ensure the work space is clean and orderly.
