OVERVIEW
We invite you to join our team as a Receptionist! This role is based in our Maumee, Ohio office and is paid hourly, with eligibility for overtime. The Receptionist serves as the central point of coordination for the office, facilitating both internal and external communications. As the initial point of contact for Matrix Technologies, the ideal candidate will consistently uphold a friendly and helpful demeanor, effectively representing the company in interactions with clients, visitors, and colleagues.

KEY RESPONSIBILITIES

  • Respond to and direct incoming calls efficiently.
  • Welcome and assist visitors as they arrive.
  • Utilize the paging system to alert employees of calls and visitors when necessary.
  • Greet interview candidates and ensure a positive experience.
  • Manage mailing and delivery of incoming and outgoing correspondence and packages, directing larger packages to the shipping dock as needed.
  • Receive and send faxes, promptly notifying recipients.
  • Arrange vehicle travel for the Maumee office, including company vehicles and rentals.
  • Coordinate the scheduling of conference rooms and hotel cubicles, assisting in meeting arrangements, including catering orders.
  • Maintain logs for rentals, EZ PASS usage, T-Mobile hotspots, digital cameras, fleet cars/vans, and keys.
  • Undertake additional duties and projects as assigned by Human Resources staff.
  • Provide support to other departments as required.
  • Remain at the front desk from 8:00 AM to 5:00 PM EST, with breaks for lunch, scheduled periods, restroom visits, and other authorized exceptions.

QUALIFICATIONS

  • High school diploma required; an associate degree in a business-related field is preferred.
  • A minimum of 1-2 years of reception experience, specifically managing a front desk and multiple phone lines.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Teams.
  • Strong command of English grammar, spelling, and punctuation.
  • Excellent organizational skills and a keen attention to detail.

PHYSICAL REQUIREMENTS

  • Occasionally required to stand, walk, sit, stoop, kneel, and crouch; demonstrated ability to use hands for various tasks; reach with hands and arms; and communicate effectively.
  • Must frequently lift and/or move objects weighing up to 10 pounds and occasionally up to 25 pounds.
  • Specific vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • May entail industrial field work, exposing the employee to hazardous locations, inclement weather, moving mechanical parts, noise, uneven ground, and stairs.
  • May also involve exposure to common food allergens.
