Essential Duties:
1. Oversee and coordinate administrative, programmatic, and office activities while establishing, selecting, implementing, and maintaining office procedures and systems. Serve as the primary source of information regarding policies, procedures, programs, and office activities for students, staff, and faculty.
2. Supervise, instruct, and coordinate the activities of support staff. Oversee the preparation of materials related to grants, contracts, and budgets, while monitoring expenditures and reconciling financial statements.
3. Provide editorial support for a journal/publication, ensuring the accuracy and coherence of material through proofreading and editing for grammatical and factual integrity. Manage the progress of copy through various editing and production stages and maintain communication with authors, printers, and other parties involved in the publication process.
4. Assess administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. Compile, synthesize, and manipulate data to produce summaries and reports while determining appropriate sources of information.
5. Greet visitors and manage incoming communications, including answering and screening telephone calls and mail. Assess and respond to business inquiries and provide necessary assistance.
6. Format, type, proofread, and edit correspondence, reports, manuscripts, grants, and other materials. Assemble attachments and corresponding materials while ensuring the completeness and accuracy of outgoing documents. Compose substantive correspondence and written materials as required.
7. Coordinate travel arrangements, schedule and organize meetings and appointments, maintain an inventory of supplies, take minutes, and perform additional administrative functions as necessary.
Required Education and Experience:
Candidates should possess six years of relevant work experience, with four of those years in the same job family at a subsequent lower level, accompanied by a high school diploma; or four years of related work experience along with an Associate’s degree; or minimal work experience paired with a Bachelor’s degree in a related field; or a combination of education and experience that is deemed equivalent.

Position Focus:
Reporting to the Operations Manager, the Registrar will serve as the primary contact for student records for the Director of Graduate Studies (DGS) and the Director of Undergraduate Studies (DUS) in the Department of Astronomy. Responsibilities include providing support for DGS and DUS in relation to course and curriculum matters, degree progress, academic deadlines, policies, procedures, and activities. Duties will also involve monitoring student records to ensure compliance with academic regulations and program requirements for graduation, facilitating teaching schedules, and assisting with recruitment and admissions processes for departmental events and student activities.
Preferred Education, Experience, and Skills:
Experience in expense management, event planning, and website maintenance is strongly preferred, along with prior experience in an academic environment.
