Job description:
Position Overview:
The Sales Coordinator plays a pivotal role in supporting the Director of Sales, Sales Manager, and Catering Manager in achieving sales objectives. This position is responsible for delivering comprehensive sales assistance, ensuring exceptional customer satisfaction, and managing various administrative tasks.

Key Responsibilities:
Sales Support:
– Assist in the development and distribution of sales materials, including presentations, proposals, contracts, and promotional content.
– Monitor and disseminate sales leads from external sources (such as Sales Force and Meeting Broker) and coordinate necessary follow-ups.
– Conduct hotel site inspections, welcome clients, and provide support during meetings as required.
– Aid in the creation and management of Banquet Event Orders (BEOs) and oversee banquet billing to facilitate catering services.
– Compile and prepare weekly, monthly, and annual reports concerning sales, catering, and meeting services; assist with month-end reporting as necessary.

Customer Relationship Management:
– Act as a primary contact for clients and prospects, addressing inquiries, gathering customer feedback, and ensuring a smooth transition to the sales team.
– Support client retention and satisfaction by maintaining communication, following up on leads, and delivering exceptional service.
– Assist in collecting and analyzing customer feedback to guide service enhancements.

Administrative Duties:
– Schedule appointments, meetings, and events for the Director of Sales and Sales Manager to optimize their time management.
– Manage incoming communications by answering phones and emails, directing inquiries to the appropriate team members.
– Maintain organized filing systems for contracts, reports, sales databases, and client files, ensuring all records are accurate and current.
– Manage sales collateral, supplies, and inventory of amenities, in addition to overseeing office equipment maintenance.

Data Management and Reporting:
– Oversee database management, maintaining negotiated account rates, production histories, mailing lists, and client records.
– Generate and analyze reports on sales performance metrics, KPIs, and trends for weekly, monthly, and quarterly evaluations, identifying areas for potential improvement.
