This position can be located in Midland, MI or Houston, TX.In this role, you will provide specialized administrative support to leadership and teams, exercising considerable discretion, ownership, and independent judgement in managing the flow of work within your area of responsibility. You will work with a limited degree of supervision, holding full authority of the supported leader(s): Global Indirect Sourcing Director (based in Houston, TX), the Corporate Services Director, and two Global Corporate Services Category Leaders (based in Midland, MI).Responsibilities
- Maintain an in-depth understanding of role, work group, and computer applications to work independently, appropriately prioritize work and provide professional administrative support to leaders, colleagues or groups in the organization. Able to meet tight deadlines in a fast-paced and quickly-changing environment. Demonstrates strong organizational skills. Proactive, resourceful and self-motivated. May supervise other administrative employees.
- Independently and proactively schedule meetings and events, book conference rooms, order food/drink, escort and manage visitor / guest process. Coordinate the end-to-end delivery of department or group events or special projects.
- Create open channels of communication to help the department understand and utilize information more effectively. Trusted with sensitive/confidential information; proven discretion required.
- Administrative point of contact with the ability to rapidly establish rapport within workgroup, leadership and clients, internal and external. Proactive approach to problem solving. Ability and knowledge to answer business/function questions and take appropriate actions in the absence of the Leader.
- Ability to arrange complex domestic and international travel and prepares itinerary. Strong attention to detail. Understands time zone and cultural differences.
- Complex calendar and time management to support leader and business objectives. Independently works to manage changing priorities and circumstances.
- Manage TER reporting, review and approve TERs on behalf of leader. Inform individuals of discrepancies. Ensure employees adhere to company policy requirements including Dow’s Code of Business Conduct.
- Advocate for Dow’s safety behaviors; often may be safety warden or contact for team, floor, etc.
- Demonstrates SME traits with MS Office platform, Dow Systems software and collaborations tools. Able to assist managers and team members with everyday IT issues. Retrieves information from role-related information systems and makes basic decisions based on it. Combines data from role-related information systems with Dow workstations to enhance productivity
Qualifications
- A minimum of a High School diploma, GED, or equivalent.
- A minimum of 3 years of experience in a professional business role, such as administrative assistant, project coordinator, event coordinator, project management, administrative role within the military, or similar type role.
- Experience with Microsoft applications, such as Outlook, Word, PowerPoint, and Excel.
- A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
Preferred Skills
- An Associate Degree or higher and/or 4+ years of relevant Military training.
- 4+ years’ experience in an administrative assistant or similar role.
- Previous experience with SAP Purchase Orders.
- Experience with the following Dow tools: Workday, Ariba, Concur, Diamond Systems, File Share Manager and Diamond Learning.
- Demonstrating competencies in the areas of: leadership, initiative, teamwork, and interpersonal effectiveness.
- Clear and concise verbal and written communication skills.
- Ensuring a safe work environment by working safely and, complying with environmental, health and safety standards.
- Strong work ethic and being able to remain productive in an empowered team environment.
- Excellent organizational skills and results-oriented. Strong attention to detail and ability to keep work flowing without distractions or interruptions.
- Good time management skills – ability to plan your tasks and the time they will take. Supervise other office assistants or delegate work to other admins and other office workers.
- Displays approachable demeanor for a positive coaching and mentoring environment by supporting an inclusive culture. Ability to work in a team and prioritize requests from multiple managers. Work effectively with others to meet or exceed organizational goals.
- Experienced with numerous business software applications / stays up-to-date on changing technology (e.g., Microsoft Office). Ability to quickly learn new internal electronic systems, and to share knowledge with others.
- Must be able to set priorities and have the ability to simultaneously handle multiple tasks. Must be flexible and able to quickly adapt to changes and anticipate needs.
