Job description:

Prepares comprehensive event documentation and collaborates with Sales, property departments, and customers to deliver consistent, high-quality service throughout the pre-event, event, and post-event phases. This role focuses on managing complex events, ensuring a seamless transition from sales to service and back to sales. Identifies opportunities to enhance revenue through up-selling and offering enhancements to create extraordinary events. Represents and supports the Director of Event Management or Director of Event Planning and Operations in their absence, serving as the primary point of contact for event planners on property and responsible for their overall experience.

Candidate Profile
Education and Experience

  • High school diploma or GED with a minimum of 2 years of experience in event management or a related professional area.
  • Alternatively, a 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related field, with no prior work experience required.

Core Work Activities
Executing Event Operations

  • Develops solutions and suggests alternatives when necessary.
  • Leads pre-event and post-event meetings for assigned groups.
  • Identifies operational challenges related to assigned groups and collaborates with property staff and customers to implement solutions.
  • Manages customer budgets to optimize revenue while fulfilling customer needs.
  • Oversees customer experiences from initial file turnover through the post-event phase until handover back to sales.
  • Conducts pre- and post-event meetings as necessary to discuss group requirements and feedback.
  • Manages group room blocks and meeting spaces for designated groups.
  • Ensures adherence to all standards, policies, and procedures.
  • Celebrates achievements and publicly acknowledges team contributions.

Executing the Sales and Marketing Strategy

  • Engages in up-selling products and services throughout the event lifecycle.
  • Participates in customer site inspections and supports the sales process as needed.
  • Acts as a liaison between field sales representatives and customers during the entire event process.

Managing Profitability

  • Oversees revenue and profitability associated with events.
  • Projects group sleeping room and event revenue (including catering and audio-visual) for assigned groups.
  • Reviews billing and payment processes with clients.

Providing Exceptional Customer Service

  • Interacts with guests to gather feedback on product quality and service levels.
  • Addresses guest issues and complaints effectively.
  • Maintains a visible presence with customers throughout the event process.
  • Conducts follow-ups with customers after events.
  • Welcomes customers during the event phase and transitions them to the Event Operations team for the execution of details.
  • Strives to enhance service performance continuously.
  • Sets a positive example for guest relations and reviews comment cards and guest satisfaction metrics with associates.
  • Coordinates and communicates event details both verbally and in writing with internal and external customers.

The salary range for this position is between $60,000 to $77,000 annually.
