Job Description:

Duties and Responsibilities:
The Special Events Assistant is responsible for supporting the planning and execution of events at the Village Theater. Responsibilities include the setup and breakdown of private events, rehearsals, classes, and productions, as well as assisting in both front- and back-of-house operations. Work assignments will take place at various venues, including the Village Theater and Cherry Hill School.

Key Responsibilities Include:

  • Supervising the overall operation of the theater in the absence of the full-time Village Theater staff.
  • Assisting House Managers and the Technical Crew with hospitality-related tasks during events.
  • Coordinating the setup, breakdown, and cleanup of programs and events.
  • Maintaining the general security of the Village Theater and other assigned facilities, including liaising with local law enforcement as needed.
  • Keeping accurate daily attendance and incident reports.
  • Promoting the facility and fostering positive public relations through interactions with patrons.
  • Enforcing safety rules, policies, regulations, and procedures for guests.
  • Maintaining detailed records of programs, activities, and equipment.
  • Responding to emergencies by communicating and documenting incidents, including First Aid, CPR, severe weather, and missing child situations.
  • Interacting positively and professionally with participants, families, and staff to ensure a high level of customer service and quality program delivery.
  • Collaborating with supervisors to ensure proper ADA accommodations are met within the facility.
  • Inspecting and preparing facilities and equipment for planned programs and events; reporting any damage to the Performing Arts Coordinator and Technical Director.
  • Enforcing departmental rules and regulations, operating procedures, and policies.
  • Attending meetings and training sessions as directed.
  • Assisting the House Manager with front desk tasks, computer registrations, fee collections, and money handling as needed.
  • Performing other duties as assigned.

Essential Qualifications – Knowledge, Skills, and Abilities:

  • Minimum age of 18 years.
  • High school diploma or GED required.
  • Prior experience in theater or a similar facility/program is preferred.
  • Experience in special events organization preferred.
  • Strong organizational and communication skills are essential.
  • Physical capability to lift and load program supplies and equipment.
  • Ability to communicate procedures and policies effectively and courteously with both colleagues and the public.
  • Capacity to demonstrate techniques and skills related to assigned programs and activities.
  • Ability to calmly and efficiently respond to emergency situations.
  • Skills in self-organization and the ability to take initiative in fulfilling responsibilities.
  • Flexibility to work various shifts, including afternoons, evenings, weekends, and holidays.
  • This is an "At-Will" position: Work assignments and scheduled hours are determined by availability, departmental needs, and budget constraints. Schedules may change based on operational requirements.
