JOB DESCRIPTION
DESCRIPTION OF DUTIES:
The Special Events Assistant is responsible for supporting the planning and execution of events at the Village Theater. This includes the setup and breakdown of private events, rehearsals, classes, productions, and various front- and back-of-house operations. Work assignments will take place at multiple locations, including the Village Theater and Cherry Hill School.
EXAMPLES OF WORK:

- Supervise the overall operation of the theater in the absence of full-time staff.
- Assist House Managers and the Technical Crew with hospitality-related tasks during events at the Village Theater.
- Facilitate the coordination of setup, teardown, and cleanup for programs and events.
- Ensure the general security of the Village Theater or other assigned facilities, including necessary communication with local law enforcement.
- Maintain accurate daily attendance records and document any accidents or incidents.
- Promote the facility and foster positive public relations through interactions with patrons.
- Enforce safety rules, policies, regulations, and procedures to ensure compliance by guests.
- Keep comprehensive records of programs, activities, and equipment.
- Address and document emergency situations and incidents, including First Aid, CPR, severe weather occurrences, and missing child events.
- Interact with participants, families, and staff in a positive, professional, and friendly manner to uphold a high level of customer service and quality program delivery.
- Collaborate with supervisors to ensure compliance with ADA accommodations in the facility.
- Inspect and prepare facilities and equipment for planned programs and events; report any equipment damage to the Performing Arts Coordinator and Technical Director.
- Enforce departmental rules, regulations, operating procedures, and policies.
- Attend meetings and training sessions as directed.
- Assist the House Manager with various duties, including front desk tasks, computer registration, fee collection, and money handling.
- Perform additional responsibilities as required.
ESSENTIAL JOB FUNCTIONS – KNOWLEDGE, SKILLS, AND ABILITIES:
- Must be at least 18 years of age.
- High school diploma or GED is required.
- Previous theater experience, especially within a similar facility or program, is preferred.
- Experience in special events is also preferred.
- Strong organizational and communication skills are essential.
- Ability to perform manual lifting and loading of program supplies and equipment.
- Proficient in clearly communicating procedures, problems, and policies to fellow employees and the public in a tactful and courteous manner.
- Capable of demonstrating techniques and skills relevant to assigned programs and activities.
- Ability to remain calm and efficient in emergency situations.
- Skilled in self-organization and motivating others; capable of independently managing responsibilities.
- Flexibility to work a variety of shifts, including afternoons, evenings, weekends, and holidays.
- This is an "At-Will" position: Work assignments and hours will be determined based on availability, division requirements, and budgetary constraints. Schedules and work hours are not guaranteed and may change based on division needs.
