Under limited supervision, the incumbent will perform advanced administrative tasks that require extensive experience, skill, and knowledge of organizational policies and practices relevant to a specific department or individual.
ESSENTIAL DUTIES:
- Prepare comprehensive and intricate proposals, reports, correspondence, charts, tables, graphics, and other documents utilizing various software packages.
- Conduct research and compile complex data and information for inclusion in reports, informational packages, and presentation materials.
- Produce and distribute monthly reports for internal and external clients, tailored to the specific business area.
- Maintain the calendar of appointments for assigned staff or departments.
- Assist in budget preparation and monitoring activities as needed.
- Serve as the administrative liaison for internal and external clients concerning matters related to purchasing, facilities, operations, etc.
- Coordinate meetings, conference calls, and appointments by interfacing with company personnel and external parties. Research and identify venues and amenities for events in partnership with vendors and in-house associates.
- Arrange travel logistics including air reservations, cost comparisons, scheduling options, hotel accommodations, and car rentals. Develop travel itineraries in alignment with schedules and verify travel cost allocations, addressing discrepancies as they arise. Assist with the completion and processing of expense forms for assigned staff.
- Answer telephone inquiries, providing callers with specific information, transcribing messages, and directing callers to the appropriate staff or voicemail when necessary.
- Develop and maintain departmental filing and tracking systems, establishing files for all written/email correspondence, project work, and reports. Coordinate off-site storage for archived files.
- Ensure the assigned office equipment is properly maintained and secure, contacting and coordinating with vendors for servicing or repairs. Review vendor contracts and research new vendor offerings as needed.
- Provide additional support through copying, faxing, and mailing as requested by assigned staff.
- Monitor and order general office supplies as needed, processing invoices for supply orders.
- Perform other duties as assigned by the department.
- Maintain positive working relationships with clients and employees, offering assistance or directing them to the appropriate department for resolution of questions or issues.
SKILLS, EDUCATION, AND EXPERIENCE:
- High school diploma or General Education Degree (GED) is required.
- A minimum of 4 years of relevant work experience is required.
- Ability to be creative and adaptable to meet deadlines while managing shifting priorities.
- Proficient in Microsoft Word, PowerPoint, Excel, and Outlook.
- Exceptional organizational skills.
- Strong proofreading and editing capabilities.
- Excellent command of business vocabulary, grammar, and communication skills.
- Capacity to maintain discretion regarding sensitive personnel and industry-related matters.
- Outstanding interpersonal skills.
- Attention to detail to ensure the accuracy of deliverables.
- Ability to undertake additional duties as assigned.
Salary:
The anticipated base salary for this position ranges from $50,000 to $65,000 annually. The actual base salary will be determined on an individual basis, taking into account a variety of factors, including relevant skills, experience, education, and, if applicable, licenses or certifications held. In addition to the base salary, a competitive benefits package is offered, and the position may be eligible for various forms of additional compensation, including discretionary bonuses and short- and long-term incentives (e.g., deferred cash, equity, etc.).
