Job description:
This position is primarily responsible for the daily operations of ambulatory registration and the preauthorization function. The role emphasizes promoting point-of-service collections in ambulatory clinics and Rural Health Clinics (RHC). It is essential to ensure that the admission and registration processes operate with high levels of productivity, accuracy, customer service, and compliance with regulatory requirements.
Responsibilities:
- (60%) Evaluate and monitor employee performance daily to guarantee the accurate collection of patient information and data entry. This will support the development of a quality control process aimed at improving data integrity.
- (20%) Provide support and guidance at various access points, ensuring the quality of registrations.
- (20%) Facilitate and coordinate training and continuing education for admitting staff. This includes providing in-service training and communication regarding policy and procedure updates for ambulatory admitting personnel.
Other Duties and Responsibilities:
- Initiate and facilitate problem-solving efforts with ancillary departments, physician offices, the billing department, and patients to address inquiries and resolve complaints.
- Monitor the effectiveness of current policies and procedures and make modifications as necessary. Participate in system-wide quality improvement initiatives and teams.
- Perform miscellaneous job duties as assigned, which may include management of communications staff, surgical scheduling staff, or volunteers.

Certifications and Licensures:

Required Education:
- An Associate’s degree is required.
- A Bachelor’s degree in business or a healthcare-related field is preferred, alongside Certification as a Healthcare Access Manager (CHAM) through the National Association of Healthcare Access Management (NAHAM) or as a Certified Revenue Cycle Representative (CRCR) through the Healthcare Financial Management Association (HFMA).

Experience, Training and Skills:
- Three to five years of experience in Patient Accounting, Admitting, or a similar capacity within a healthcare setting.
- Knowledge and skills in basic accounting, business writing, and computer systems, typically acquired through the completion of an Associate’s degree in business, accounting, or a related field; CHAM certification is required within one year of hire.
- Exceptional customer service skills, alongside strong written and oral communication, problem-solving, and mentoring abilities.
- Proficiency in Excel and Word, robust analytical skills, and effective human relations/interviewing skills.
- Ability to function effectively in a team setting and demonstrate interpersonal skills necessary for successful communication with individuals and groups at all levels within the medical center.
- Completion of mandatory Occupational Safety and Health Administration (OSHA) training annually in accordance with the Exposure Control Plan is required.
