Position Purpose:
The Hospital Operations Manager is responsible for providing daily leadership within our hospital while collaborating closely with the Hospital Veterinarian(s). This role involves partnering with retail store teams to ensure a smooth and profitable operation by fostering a culture of high-quality patient care and exceptional customer service, while also driving revenue and managing costs. The Hospital Operations Manager embodies and promotes the mission and values of the hospital and Petco among all clients. Essential Job Functions:
The Hospital Operations Manager is responsible for the following essential duties, which must be performed with or without reasonable accommodation:

  • Lead hospital paraprofessionals in pursuit of operational excellence, efficiency, high standards of patient care, and outstanding client experiences.
  • Foster productive, collaborative relationships with all veterinarians in the hospital to enhance workplace culture and team cohesion.
  • Serve as the point of contact for all day-to-day functions of the practice, including but not limited to: scheduling for veterinarians and support staff, ensuring equipment functionality and maintenance, managing inventory control and ordering, facilitating proper invoicing, patient scheduling, training team members, overseeing radiological safety programs, and addressing elevated client concerns.
  • Oversee hiring processes, staff training, performance reviews, counseling, and separations for paraprofessional staff in collaboration with the Area Operations Manager and Human Resources Business Partner.
  • Maintain responsibility for scheduling all paraprofessional partners, ensuring schedules are prepared at least two weeks in advance, and uphold Petco’s policies related to punctuality and attendance.
  • Develop and manage the doctor’s schedule with assistance from the Area or Regional Medical Director as needed.
  • Review monthly profit and loss statements, working with the Area Operations Manager to drive revenue growth and surpass financial targets established by the Finance team.
  • Escalate partner or client issues to the Area Operations Manager, Area Medical Director, and/or HRBP as necessary.
  • Collaborate with the Petco store team to deliver a seamless, comprehensive care experience for customers.
  • Schedule appointments, provide client education, relay test results to doctors and clients, maintain and update hospital inventory, and manage client/patient records within the practice management system, alongside managing accounts receivable.
  • Ensure the hospital environment is kept clean and organized; uphold OSHA standards and perform regular cleaning duties based on necessity and a predetermined maintenance schedule.
  • Enforce and uphold all Petco and Vetco Total Care policies.

Other Duties and Responsibilities:

  • Prioritize patient care above all else.
  • Address and resolve any issues involving patients, clients, or hospital partners promptly.
  • Foster exceptional teamwork and commitment towards achieving collective goals for the benefit of Petco.
  • Collaborate with the Retail Team to maintain a positive and cohesive cultural environment.
  • Provide front desk support when needed, including answering phones.
  • Carry out additional duties and special projects as assigned.

Nature of Supervision:
This position reports to the Area Operations Manager.

Planning and Problem Solving:
The Hospital Operations Manager must demonstrate strong planning abilities, particularly in scheduling hospital paraprofessional partners to ensure adequate coverage without exceeding payroll forecasts. This role will be pivotal in ensuring that the hospital operates efficiently and delivers an exceptional experience for patients and their guardians.

This role includes direct supervision of one or more team members, such as Veterinary Technicians, Vet Assistants, and Concierge partners, involving responsibilities such as recruitment, interviewing, hiring, training, mentoring, delegating tasks, and partnering with Human Resources on disciplinary matters up to and including termination.

Minimum Requirements:

  • 2-3 years of prior experience in a veterinary practice or, alternatively, a minimum of 2 years of strong leadership experience.
  • Exceptional written and verbal communication skills.
  • Proven ability to make decisions, delegate responsibilities, and drive results collaboratively with hospital partners.
  • Demonstrated compassion and professionalism, particularly in emotionally charged or stressful situations.
  • Telephone etiquette and basic computer proficiency are required.
  • A team player willing to embrace continuous learning, contribute innovative ideas, and adapt to change.
  • Basic computer skills, including proficiency with the Microsoft Office suite.

Desired Requirements:

  • 3-5 years of prior experience in a veterinary practice.
  • Experience with profit and loss management.
  • A Bachelor’s degree or equivalent experience.
  • A minimum of 3 years in a management role, including a focus on customer service.
  • Experience in reporting and data analysis.
  • Veterinary Assistant/Technician experience in progressively responsible roles.
  • Licensing as a Veterinary Technician or Certification as a Veterinary Assistant is a plus but not required.
