Job description:
The Wealth Market Associate (WMA) will report directly to the Head of Field Support and will be instrumental in providing ongoing operational support to Wealth Market Leaders and their advisor teams within specified markets or regions. Focused on the Mass Affluent Market, the WMA will serve as a trusted team member, addressing the daily operational needs of Wealth Market Leaders and their market sales force. This role is vital in enhancing the overall delivery model of our services within the Bank for the mass affluent segment.
Responsibilities:
- Sales Reporting: Maintain a monthly overview of production reports for each PCA aligned with WML objectives.
- Managed Money Annual Review: Generate reports from Salesforce identifying outstanding annual reviews.
- System Proficiency: Utilize various platforms including Salesforce, Terrapin, M&O, NetX, Money Guide Pro, and Lead Management effectively.
New Hire Onboarding:
- Act as the primary liaison between new hires and the back office to obtain necessary information for licensing and registration.
- Coordinate with Retail and WML to ensure workspace availability.
- Manage the procurement of computers and collaborate with the technology team for timely delivery.
- Process requests for phones, email updates, system access, and onboarding supplies.
- Collaborate with WML to establish new hire onboarding calendars.
Guide New PCAs During Onboarding:
- Assist with the setup of the Key Connect Page, including relevant applications and links.
- Facilitate the setup of WebEx, Microsoft Teams, voicemail, Outlook signatures, and, if necessary, a new Biscom Fax line.
- Provide an overview of systems applicable to their daily tasks.
- Review compliance-related “HOT” files that require establishment.
Book of Business Management:
- Extract account lists from NetX for each branch within the new territory.
- Organize the list into categories for review, including closed, pending close, active, and $0 balance accounts.
- Discuss the files with WML and relay instructions to the current PCA for action.
- Process returned files and manage book movements.
- Compose PCA introduction letters for WML/CSG/Compliance approval.
- Assist in compiling mailing lists and facilitate mail merges as required.
Offboarding for Terminated Employees:
- Retrieve Books of Business from NetX for retention and transition purposes.
- Send back-office term notifications and manage employee terminations within the Workday system.
- Ensure the completion of offboarding requests, including the return of equipment.
- Process changes to voicemail, update distribution lists, and handle other offboarding tasks.
- Manage Books of Business movements related to NetX accounts, annuities, and Fund Direct accounts as needed.
Daily Office Support:
- Maintain Outlook calendars for WMLs, scheduling regular one-on-ones, team, and market calls as needed.
- Manage supply orders and process rep code changes within NetX.
- Coordinate HUB location changes, ensuring workspace is established, and collaborate with relevant departments for communication updates.
Client Events Coordination:
- Facilitate planning meetings between WML, CIO, and relevant parties to discuss logistics of client events.
- Collaborate with Marketing, CSG, and Compliance for client invitation approvals.
- Create a secure shared Client Event page on the Market Teams Page to manage invitations and materials.
- Compile and submit master invitation lists for approval and communicate details to all involved parties.
- Research and coordinate event locations, ensuring smooth logistics for attendees.
Team Meetings and Training Coordination:
- Secure venues for meetings and manage details concerning accommodations and AV requirements.
- Dispatch "Save the Date" notifications and meeting invitations, while coordinating planning calls to develop agendas.
- Prepare presentation materials and gather necessary supplies for meetings and trainings.
Additional Duties:
- Perform other duties as assigned; responsibilities may evolve, or new tasks may be assigned at any time.

Education Qualifications:
- High School Diploma (required); Bachelor’s Degree (preferred).
Experience Qualifications:
- Minimum of 3 years of experience in a support role within a brokerage or bank-based brokerage firm.
Tactical Skills:
- Demonstrated proficiency in organizational skills, strong verbal and written communication capabilities, and comfort working collaboratively under multiple directives.
- High proficiency in the Microsoft Office Suite (Excel, Word, Outlook, etc.).
- Ability to adapt quickly to new programs and procedures with limited initial guidance.
- A highly organized individual with strong judgment, accuracy, and the capacity to manage multiple priorities effectively in a dynamic environment.

Compensation and Benefits:
